Job Description

A receptionist's job description includes:

• Greeting visitors : Welcoming customers and visitors, and directing them to the appropriate person or location
• Answering phone calls: Answering, screening, and directing phone calls to staff
• Managing mail: Receiving mail, documents, and packages, and delivering or distributing them
• Scheduling appointments: Making appointments for staff or specific employees
• Performing clerical tasks: Basic filing and recordkeeping, photocopying, and other clerical tasks
• Maintaining logs: Maintaining directories and logs
• Organizing the reception area: Ensuring cleanliness and organizing the reception area
• Keeping track of inventory: Keeping track of office supply inventory
• Signing for deliveries: Signing for deliveries
• Processing bills: Processing bills and helping clients with questions about their charges

Receptionists need to be able to multitask, switch between tasks, and prioritize. They also need to be able to use computer software like Microsoft Office, printers, and caller systems.
