Job Summary :
The Purchase Executive will be responsible for managing and overseeing the procurement process for educational materials, supplies, and services needed by the school. This role involves collaborating with various departments to ensure that all purchases meet the school's quality standards, budgetary constraints, and regulatory requirements.
Key Responsibilities:
Procurement Management :
Identify and evaluate suppliers based on quality, price, delivery time, and other relevant factors.
Negotiate contracts and terms with suppliers to ensure the best prices and terms for the school.
Prepare and process purchase orders, ensuring accuracy and timely delivery of goods and services.
Collaboration and Communication:
Liaise with teachers, staff, and administration to understand their purchasing needs and requirements.
Coordinate with other departments to streamline procurement processes and ensure compliance with school policies.
Budget Management:
Assist in the development of the procurement budget, ensuring adherence to financial constraints.
Track and report on procurement spending, identifying opportunities for cost savings and efficiency improvements.
Supplier Relationship Management:
Develop and maintain strong relationships with suppliers to ensure quality service and product delivery.
Resolve any issues or discrepancies related to orders, deliveries, or invoices promptly.
Compliance and Record Keeping:
Ensure all purchases comply with school policies, local regulations, and financial guidelines.
Maintain accurate records of purchases, contracts, and supplier information for auditing purposes.
Qualifications:
Bachelor's degree in Business Administration, Supply Chain Management, or a related field (preferred).
Proven experience in procurement or purchasing, preferably in an educational or institutional setting.
Proficient in using procurement software and Microsoft Office Suite (Excel, Word, PowerPoint).
Excellent organizational and time-management skills.
Ability to work collaboratively and maintain professional relationships with staff and vendors.
Skills:
Attention to detail and accuracy in purchasing and record-keeping.
Analytical mindset with strong problem-solving abilities.
Knowledge of market trends and supplier capabilities in the education sector.
Working Conditions :
This position may require occasional overtime or extended hours during peak purchasing periods or school events.
Work is primarily conducted in an office setting within the school premises.

Pay: ?20,000.00 - ?30,000.00 per month
