Job Summary:
The Purchase Incharge is responsible for overseeing and managing the procurement of materials, goods, and services for the company. This role involves strategic sourcing, vendor management, inventory control, and ensuring that all purchases are made within budgetary constraints and in alignment with company needs. The Purchase Incharge plays a vital role in ensuring that production schedules, operations, and projects run smoothly by maintaining timely and cost-effective procurement operations.
Key Responsibilities:
• Procurement Management:
• Oversee the entire procurement process, including identifying needs, sourcing suppliers, negotiating terms, and managing purchase orders.
• Ensure timely and cost-effective procurement of materials, services, and supplies based on departmental requirements.
• Evaluate and select suppliers based on quality, price, and delivery timelines.
• Vendor Management:
• Build and maintain strong relationships with vendors and suppliers.
• Negotiate contracts and pricing with suppliers to ensure favorable terms.
• Monitor supplier performance, resolve issues, and ensure compliance with contractual obligations.
• Inventory Control:
• Maintain an optimal level of inventory to avoid overstocking or stockouts.
• Track inventory usage, forecast future requirements, and place orders accordingly.
• Conduct regular stock audits and reconcile discrepancies.
• Budget and Cost Control:
• Manage the purchasing budget and ensure that purchases are within allocated budgetary limits.
• Identify opportunities to reduce procurement costs while maintaining product quality and availability.
• Prepare and submit regular reports on procurement spending and savings.
• Order and Delivery Management:
• Ensure that all purchase orders are processed promptly and accurately.
• Monitor the delivery schedule to ensure timely receipt of materials.
• Follow up with suppliers on delayed or missing deliveries.
• Compliance and Documentation:
• Ensure that all procurement activities comply with legal, regulatory, and company policies.
• Maintain accurate and up-to-date records of purchases, contracts, and supplier communications.
• Prepare purchase-related reports and documentation as required by management.
• Team Collaboration:
• Work closely with internal departments (e.g., Production, Finance, and Operations) to ensure alignment on procurement needs and schedules.
• Collaborate with the Finance department to process invoices and resolve any payment discrepancies.
• Process Improvement:
• Continuously assess and improve purchasing processes to enhance efficiency, reduce costs, and improve overall performance.
• Implement best practices in procurement and stay updated on industry trends and new sourcing opportunities.
Skills and Qualifications:
• Education:
• A bachelor's degree in Business Administration, Supply Chain Management, or a related field. A master's degree or professional certification (e.g., CIPS, CPSM) is a plus.
• Experience:
• 3-5 years of experience in procurement, purchasing, or supply chain management, preferably in a similar industry.
• Proven track record of successful vendor management and cost optimization.
• Skills:
• Strong negotiation skills and the ability to influence stakeholders.
• Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and purchasing software (e.g., SAP, Oracle).
• Excellent communication, interpersonal, and problem-solving skills.
• Strong organizational and time-management abilities.
• Attention to detail and ability to work with minimal supervision.
• Knowledge:
• Knowledge of procurement processes, market trends, and supplier dynamics.
• Familiarity with inventory management techniques and software.
• Understanding of financial principles related to procurement and budgeting.
Working Conditions:
• Full-time position, typically Monday to Friday, with occasional overtime based on business needs.
• Office-based with possible travel to supplier locations or warehouses.
• May require working in a fast-paced, deadline-driven environment.
