Job Title: Purchase Executive
Reports To: Procurement Manager/Operations Manager
Job Summary:
The Purchase Executive is responsible for managing procurement activities, sourcing vendors, negotiating contracts, and ensuring the timely and cost-effective purchase of materials, goods, and services needed by the organization. The role requires a strong focus on maintaining quality standards, optimizing costs, and adhering to organizational procurement policies.
Key Responsibilities1. Procurement Management:
• Identify the organization's purchasing needs and ensure timely procurement of materials and services.
• Research and evaluate potential suppliers based on price, quality, service, and reliability.
• Develop and maintain good supplier relationships.
• Place orders and track deliveries to ensure timely supply of goods.
2. Vendor Management:
• Source and onboard reliable vendors and suppliers.
• Negotiate pricing, terms, and conditions to achieve cost efficiency.
• Conduct vendor evaluations and performance reviews periodically.
3. Inventory and Cost Control:
• Monitor inventory levels and coordinate with relevant departments to avoid stock shortages or surpluses.
• Analyze market trends and supplier pricing to identify cost-saving opportunities.
• Prepare and manage budgets for purchasing activities.
4. Compliance and Documentation:
• Ensure all procurement activities comply with company policies and relevant laws/regulations.
• Maintain accurate records of purchases, contracts, and vendor agreements.
• Prepare reports on procurement activities and cost analyses.
5. Cross-functional Collaboration:
• Work closely with departments like finance, operations, and production to align purchasing strategies with organizational needs.
• Resolve issues related to delayed shipments, discrepancies in orders, or defective products.
Key Skills and Competencies
• Negotiation Skills: Strong ability to negotiate favorable terms and pricing.
• Analytical Thinking: Capable of assessing suppliers and pricing trends.
• Attention to Detail: Ensure accuracy in documentation and order management.
• Communication Skills: Excellent verbal and written communication for dealing with suppliers and internal stakeholders.
• Organizational Skills: Ability to prioritize tasks and manage multiple projects effectively.
Qualifications and Experience
• Bachelor's degree in Business Administration, Supply Chain Management, or a related field.
• Proven experience (2-5 years) in procurement or a similar role.
• Proficiency in procurement software and Microsoft Office Suite.
• Familiarity with supply chain management principles and best practices.
• Knowledge of relevant regulations and compliance standards.
Work Environment:
• Office setting with occasional travel to vendor locations.
• Fast-paced, deadline-driven environment.
