Key Responsibilities :
• Procurement Support :
• Assist in sourcing and purchasing fire safety products, including fire extinguishers, alarms, suppression systems, safety equipment, and related materials.
• Coordinate with vendors and suppliers to ensure the timely delivery of products and services.
• Prepare and maintain purchase orders, ensuring they are accurate and align with project requirements.
• Track and monitor inventory levels to avoid shortages and ensure stock availability for ongoing projects.
• Vendor Management :
• Assist in maintaining strong relationships with suppliers and manufacturers.
• Ensure that suppliers provide high-quality products that meet industry standards and compliance requirements.
• Collect quotes, negotiate prices, and manage the purchasing process to secure the best value for the company.
• Documentation and Record-Keeping :
• Maintain accurate and up-to-date procurement records, including purchase orders, delivery notes, and invoices.
• Assist with the preparation of reports on purchasing activities, stock levels, and supplier performance.
• Support the preparation of tender documents when required for specific projects.
• Inventory Management :
• Track stock levels of fire and safety equipment and materials, ensuring the warehouse is adequately stocked to meet project and service requirements.
• Coordinate with warehouse staff to manage incoming goods, including proper storage and organization.
• Compliance and Safety Standards :
• Ensure all purchased goods and materials meet relevant safety regulations and industry standards for fire protection.
• Work closely with the quality control team to confirm that products meet safety compliance before delivery and installation.
• Cost Control and Budgeting :
• Assist the Procurement Manager in maintaining budgets for purchasing activities and helping to identify cost-saving opportunities.
• Monitor prices and industry trends to ensure competitive pricing and value for money.
• Communication & Coordination :
• Communicate with internal teams, including project managers, service technicians, and engineers, to understand product requirements.
• Provide support to field teams by ensuring they have access to necessary materials for ongoing fire and safety services.
Qualifications :
• Education :
• A degree or diploma in Business Administration, Supply Chain Management, Engineering, or a related field is preferred.
• Certification in procurement or supply chain management (e.g., CIPS) is a plus.
• Experience :
• Previous experience in a purchasing or procurement role, ideally in a technical, engineering, or construction-related industry.
• Experience working with fire safety products or services is highly advantageous.
• Skills & Competencies :
• Strong communication and negotiation skills.
• Ability to handle multiple tasks and prioritize effectively.
• Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
• Knowledge of inventory management systems and procurement software.
• Strong attention to detail and organizational skills.
• Knowledge of fire safety standards and products is desirable.
