Identify potential suppliers/vendors through research, networking, and evaluation of proposals.
Build and maintain strong relationships with vendors, negotiating contracts and terms to secure favorable pricing and quality.
Continuously evaluate vendor performance, ensuring adherence to contractual agreements and quality standards.
Purchase Planning and Execution:
Collaborate with internal departments to understand their procurement needs and develop purchase plans accordingly.
Execute purchase orders accurately and in a timely manner, ensuring alignment with budgetary constraints and project timelines.
Monitor inventory levels and anticipate future demand to prevent stockouts and minimize excess inventory.
Cost Analysis and Budgeting:
Analyze market trends and raw material pricing within the current product mix to uncover potential cost-saving opportunities.
Conduct cost analysis to identify cost-saving opportunities and optimize purchasing processes.
Assist in budget planning by providing insights and forecasts related to procurement expenses.
Quality Assurance and Compliance:
Ensure that all purchased products meet quality standards and specifications outlined by the organization.
Stay updated on industry regulations and compliance requirements related to procurement activities.
Conduct regular audits of vendor processes and products to maintain quality standards and mitigate risks.
Documentation and Record-Keeping:
Maintain accurate records of purchases, pricing, and vendor information using procurement software or databases.
Prepare and maintain documentation related to purchase orders, contracts, and agreements.
Communication and Coordination:
Liaise with internal stakeholders, including finance, operations, and warehouse teams, to coordinate procurement activities and resolve any issues or discrepancies.
Communicate effectively with vendors regarding order specifications, delivery schedules, and any other relevant information.
Qualifications:
Bachelor's degree in Business Administration, Supply Chain Management, or a related field.
Proficiency in Excel is a must for conducting thorough analysis on costs, forecasting, and comparisons.
Detail-oriented with a high level of accuracy in data entry and record-keeping.
Minimum 1-3 yrs of experience
Familiarity with international procurement practices and import/export regulations.
The Purchase Executive will primarily work in an office environment, collaborating with various departments and communicating with external vendors. Occasional travel may be required for vendor meetings, industry events, or site visits.
