Job Overview:
The Purchase Executive is responsible for managing the procurement of pharmaceutical raw materials, packaging materials, and other supplies necessary for production and operations within the pharmaceutical company. The role requires knowledge of pharmaceutical regulations, strong negotiation skills, and the ability to maintain strong supplier relationships to ensure timely and cost-effective procurement.
Key Responsibilities:
• Procurement Management:
• Source, evaluate, and select suppliers of raw materials, packaging, and other necessary items.
• Place and manage orders for materials in accordance with production schedules and inventory requirements.
• Negotiate prices, terms, and delivery schedules with suppliers to secure the best value for the company.
• Ensure that all procurement activities comply with applicable regulatory standards, including GMP (Good Manufacturing Practices) and other pharmaceutical industry regulations.
• Supplier Relationship Management:
• Maintain strong relationships with existing suppliers and actively seek new suppliers to enhance product offerings and improve cost efficiency.
• Regularly evaluate supplier performance, reliability, and quality standards.
• Resolve any disputes or issues related to supplier performance, quality, or delivery.
• Inventory Control:
• Monitor stock levels of raw materials and finished goods to ensure uninterrupted production.
• Work closely with the inventory team to ensure timely procurement to avoid stockouts or excess inventory.
• Assist in conducting regular inventory audits and ensure accurate record-keeping of all purchases.
• Documentation & Compliance:
• Maintain accurate records of purchase orders, delivery receipts, and invoices.
• Ensure that all procurement documentation is properly filed and readily available for audits or inspections.
• Stay updated on the latest pharmaceutical industry regulations, ensuring all procurement processes are compliant.
• Cost Management:
• Identify opportunities to reduce procurement costs while maintaining quality standards.
• Assist in the preparation and management of the procurement budget.
• Review and monitor market trends and recommend cost-effective alternatives or substitutions when possible.
• Coordination and Communication:
• Work closely with internal departments such as production, quality control, and logistics to ensure smooth procurement processes and timely delivery of goods.
• Communicate any procurement-related issues or delays to relevant stakeholders in a timely manner.
• Reporting:
• Prepare regular reports on purchase orders, supplier performance, inventory levels, and procurement activities.
• Analyze procurement data to identify trends and provide insights for strategic decision-making.
Qualifications:
• Bachelor's degree in Pharmacy, Supply Chain Management, Business Administration, or a related field.
• At least 1-2 years of experience in a procurement or purchasing role, preferably in the pharmaceutical industry.
• Knowledge of pharmaceutical products, raw materials, packaging, and regulatory standards.
• Strong negotiation, communication, and interpersonal skills.
• Proficiency in MS Office and experience with procurement software or ERP systems.
• Strong analytical skills and attention to detail.
• Ability to work under pressure and manage multiple tasks simultaneously.
Preferred Skills:
• Experience with inventory management and supply chain optimization.
• Understanding of import/export regulations for pharmaceutical products.
• Knowledge of global pharmaceutical markets and suppliers.

• Office-based with occasional site visits to suppliers, warehouses, or manufacturing facilities.
