The Purchase Executive is responsible for managing and overseeing the procurement of materials, goods, and services required by the organization. This role ensures that purchasing activities are conducted in a cost-effective, efficient, and timely manner while adhering to company policies, standards, and budgets.
Key Responsibilities:
• Procurement & Sourcing:
• Identify and select suppliers for materials, goods, and services based on quality, cost, and delivery requirements.
• Request and analyze quotes, tenders, and proposals from suppliers.
• Negotiate pricing, terms, and conditions with suppliers to secure favorable deals.
• Monitor supplier performance and ensure that goods and services are delivered on time and meet quality standard.
• Order Management:
• Place orders for required materials, ensuring accuracy in terms of quantity, specifications, and delivery timelines.
• Coordinate with suppliers to track and expedite delivery schedules.
• Maintain and update purchase orders and ensure that orders are processed efficiently.
• Inventory Management:
• Collaborate with inventory teams to ensure optimal stock levels are maintained.
• Monitor stock levels to prevent shortages or overstocking.
• Assist in managing the inventory system, ensuring the accuracy of incoming and outgoing items.
• Vendor Relationship Management:
• Build and maintain strong relationships with suppliers and vendors.
• Address any concerns or issues raised by suppliers or internal teams regarding product quality, delivery delays, or pricing discrepancies.
• Conduct supplier evaluations and recommend improvements in supply chain processes.
• Documentation & Reporting:
• Prepare and maintain records of all purchase transactions, including orders, invoices, and delivery receipts.
• Update and maintain the database for procurement tracking and reporting.
• Provide regular reports to the Procurement Manager on order status, inventory levels, and supplier performance.
• Cost Control:
• Ensure purchasing decisions align with budgetary constraints and company financial goals.
• Identify cost-saving opportunities and implement strategies to reduce procurement expenses.
• Compliance & Quality Assurance:
• Ensure that all purchasing activities comply with company policies, procedures, and industry regulations.
• Verify the quality and specifications of products before accepting them from suppliers.
