Job Title: Purchase Executive
Location: Indie Stays, Goa
Reports To: [Finance Head / F&B Ops Manager ]

Job Summary:

Indie Stays Goa is seeking a Purchase Executive who will be responsible for managing and coordinating the procurement process to ensure a consistent supply of high-quality products and materials at competitive prices. This role involves vendor management, inventory monitoring, and adherence to budgets and quality standards to support smooth operations across all departments.

Key Responsibilities:

• Procurement & Purchasing:
• Manage the end-to-end procurement process, ensuring timely sourcing and purchase of required items, including F&B, housekeeping, and maintenance supplies.
• Conduct market research to find the best suppliers based on price, quality, reliability, and delivery schedules.
• Vendor Management:
• Establish and maintain strong vendor relationships to negotiate favorable terms and conditions, maximizing value for money.
• Evaluate vendor performance regularly and ensure compliance with the company's standards and policies.
• Inventory Control:
• Monitor inventory levels, ensuring optimal stock levels to prevent overstocking or stockouts.
• Coordinate with relevant departments to forecast and plan for inventory needs based on occupancy rates and operational requirements.
• Budget Adherence:
• Ensure purchases stay within budget limits and look for cost-saving opportunities without compromising on quality.
• Review, track, and report on expenditures, providing regular updates on purchasing activities to management.
• Quality Assurance:
• Conduct quality checks for all items received to ensure they meet the required standards before approval.
• Address any issues related to quality or discrepancies with vendors promptly.
• Documentation & Reporting:
• Maintain accurate records of all purchase orders, invoices, and other relevant documentation.
• Prepare and submit regular reports on inventory status, vendor performance, and procurement activities.
• Compliance:
• Ensure compliance with local, state, and federal regulations related to procurement.
• Adhere to the company's ethical purchasing practices and procurement policies.

Requirements:

• Education: Bachelor's degree in Business Administration, Supply Chain Management, or a related field.
• Experience: Minimum of 2 years of experience in purchasing or procurement, preferably in the hospitality industry.
• Skills:
• Strong negotiation, communication, and interpersonal skills.
• Proficiency in MS Office and procurement software.
• Excellent organizational and multitasking abilities.
• Detail-oriented with a proactive approach to solving problems.
• Knowledge: Familiarity with local suppliers in Goa and a good understanding of quality standards in hospitality procurement.
