Position Title: Stores and Purchase Executive
Department: Supply Chain / Procurement
Reports To: Stores Manager
Location: Sernabatim, Colva, South Goa

Position Overview:

The Stores and Purchase Executive is responsible for overseeing and managing the procurement and storage of goods and materials required by the organization. This role involves working with suppliers, managing inventory, ensuring timely delivery of materials, and ensuring that the storage areas are organized and compliant with company standards.

Key Responsibilities:

• Identify and evaluate suppliers for materials, equipment, and services.
• Place orders for materials based on departmental and organizational needs.
• Negotiate with suppliers to secure competitive pricing, favorable terms, and timely deliveries.
• Monitor and track purchase orders to ensure timely receipt of goods.
• Ensure compliance with procurement policies and procedures.
• Maintain accurate and up-to-date records of all inventory items.
• Monitor stock levels and re-order materials in a timely manner to avoid shortages.
• Conduct periodic inventory counts and reconcile discrepancies.
• Ensure that materials are stored in accordance with health and safety regulations.
• Coordinate with other departments to manage the movement of goods in and out of the store.
• Receive, inspect, and verify incoming goods for accuracy and quality.
• Check materials against purchase orders and delivery notes to ensure correct items and quantities.
• Report any discrepancies or damaged goods to suppliers for resolution.
• Organize the storage of materials in the warehouse to maximize space and accessibility.
• Ensure that all goods are properly labeled, stored, and easy to locate.
• Ensure proper handling and distribution of materials to relevant departments or projects.
• Maintain accurate records of all purchases, receipts, and stock movements.
• Ensure all procurement and inventory transactions are properly documented for audit purposes.
• Prepare regular reports on stock levels, purchase orders, and inventory status for management.
• Build and maintain strong working relationships with key suppliers.
• Resolve any issues related to delivery schedules, quality of goods, or payment terms.
• Evaluate vendor performance regularly to ensure reliable supply chains.
• Monitor and control procurement costs within budgeted limits.
• Assist in preparing the annual budget for purchases and stores operations.
• Work closely with finance to ensure accurate and timely processing of supplier invoices.
• Ensure compliance with organizational policies, legal requirements, and industry standards.
• Conduct regular checks to ensure the quality and condition of stored materials.
• Ensure safe handling and storage of goods and materials.
• Adhere to health and safety regulations in the workplace and implement safety procedures in the stores and procurement processes.

Skills and Qualifications:

• Educational Requirements:
• Bachelor's degree in Business Administration, Supply Chain Management, or a related field (preferred).
• Professional certifications in Procurement, Inventory Management, or Supply Chain (such as CIPS, CPIM) would be an advantage.
• Experience:
• 2-3 years of experience in stores management, procurement, or supply chain.
• Experience in inventory management, stock control, and vendor management.
• Key Skills:
• Strong negotiation and communication skills.
• Proficiency in Microsoft Office (Excel, Word, etc.) and ERP systems (e.g., SAP, Oracle).
• Good understanding of inventory control principles and purchasing processes.
• Ability to work under pressure and meet deadlines.
• Excellent organizational and time-management skills.

Job Type: Full-time

Pay: ?15,000.00 - ?20,000.00 per month
