The Project Coordinator will assist in planning, executing, and closing fire fighting projects for residential and commercial sites. They will ensure all project activities are organized, on schedule, and within budget, while maintaining compliance with safety and fire protection standards.
Key Responsibilities:
Assist the Project Manager in coordinating all aspects of fire fighting system installations, including fire sprinkler, suppression, and alarm systems.
Prepare and maintain project schedules, track progress, and ensure timely completion of project milestones.
Analyse project budgets regularly to ensure costs are controlled and aligned with the approved financial plan.
Plan and coordinate the preparation of RA Bills (Running Account Bills), ensuring accuracy of quantities and certifications.
Follow up with clients, consultants, and internal teams for processing, approval, and timely payment of RA Bills.
Liaise with clients, contractors, suppliers, and internal departments to ensure clear communication and smooth project execution.
Review project designs, material submittals, and ensure compliance with NFPA standards and local fire codes.
Procure materials and equipment on time and ensure proper site delivery.
Organize and maintain project documentation including drawings, permits, inspection reports, contracts, and billing records.
Monitor and control project costs, assist in invoice generation, and track payments.
Coordinate site inspections, testing, commissioning, and handover processes.
Identify risks, delays, or cost overruns and assist in developing corrective actions.
Ensure all activities comply with health, safety, and environmental regulations.
Prepare weekly and monthly project status and financial progress reports for management and clients.
Requirements:
Bachelor's degree in Mechanical Engineering or related field preferred.
2-5 years of experience in project coordination, preferably in the fire fighting or MEP industry.
Strong knowledge of fire protection systems (sprinklers, pumps, hydrants, suppression systems, etc.).
Familiarity with NFPA standards, local fire codes, and safety regulations.
Experience in project budgeting, billing processes, and RA Bill preparation.
Proficient in MS Office (Excel, Word, Project) and AutoCAD.
Strong organizational, financial, and multitasking skills.
Excellent communication, negotiation, and interpersonal skills.
Ability to work independently under pressure and meet tight deadlines.
