JOB SUMMARY
Reports to the APAC Project Controls Lead
The Project Control Analyst is a role in the Project Controls team mentored and supervised by the APAC Project Controls Lead.
The Project Control Analyst works on projects within the APAC region. This position within a project team is responsible for Cost Forecasting, Cash Forecasting, Risk Management, Earned Value management, Change Management, Manpower Planning, and other project controls activities. A close co-operation with assigned Project Managers and project teams to generate operational and financial metrics used in project decision making.
The Project Control Analyst monitors actual operational and financial performance against budget/forecast. They analyze percentage of completion/project progress to understand actual progress and areas where system deliveries in the future could be at risk. The Project Control Analyst also works with the Project Manager in the identification, assessment, development, and management of mitigation plans for project risks. This position assumes responsibility for the integrity of the data maintained in the ERP and project control systems and assures that adequate levels of control documentation are in place.
PRINCIPLE DUTIES AND RESPONSIBILITIES
The Project Control Analyst, APAC will:
• Facilitate reviews with project management to ensure an accurate cost estimate at completion is determined.
• Manage preparation of internal monthly reports and external client reports and actively participate in project operations and schedule reviews.
• Establish and document project-specific change management procedures and ensure project team understands and follows project-specific change management procedures, including coding and budgeting.
• Coordinate and facilitate change order meeting and ensure change order signatures have been obtained and documented and that approved change orders are tracked and maintained.
• Read understand and apply project specific contract terms and requirements to identify the full contractual scope of the project (e.g., milestone billings, liquidated damage clauses, scope of work where potential change orders should be provided to the customer).
• Generate project operational and financial metrics that serve as the basis for Project Management decision-making.
• Participate in project Risk Reviews and communicate risks to the leadership team
• Facilitate project reviews for assigned projects in the region to ensure accurate reporting of cost, revenue and gross margin before results are communicated to Corporate Finance and Project Delivery leadership.
• Recognize and facilitate resolution of budget under/over runs and communicate to project management.
• Coordinate contract budgets across technology centers ensuring that budget distribution across multiple sites is aligned.
• Prepare cost distribution forecasts to ensure accurate calculation of revenue and gross margin, based on the latest project schedule.
• Provides Order entry Supports and maintains the Project database.
• To create and update Project Schedule L1/L2/L3 level in Microsoft Projects software.
• Review internal and external reports with project managers, and finance departments identifying, reconciling, and explaining cost variances as it relates to project completion.
• Ensure WBS compliance, data integrity, routine maintenance, accurate reporting and forecasting within the ERP system.
• Track contractual milestones and stage gates to ensure timely client invoicing.
• Provide ad hoc reporting for project and/or senior management using a variety of software tools (e.g. SAP, BW HANA, Microsoft Project Online, Power BI etc.).
• Apply code of accounts to project estimates and contract terms and review with project team
• Ensure work breakdown structure (WBS) creation and accurate tracking of costs to the applicable cost centers while ensuring compliance with current financial/project management policies.
• Ensure WBS compliance, data integrity, routine maintenance, accurate reporting and forecasting within the ERP system
• Monitor the use of the ERP system, while identifying and resolving discrepancies with account structure; manage and verify interfaces between financial systems and project controls tools.
• Verify that data entered into costing categories adheres to contract and subcontract terms for sourcing contracts including subcontractor management.
• Ensure period costs are updated into the general ledger tool in a timely manner and to recognize potential budget under/over runs that are at risk of occurring based on run rates and progress towards completion.
KNOWLEDGE, SKILLS & ABILITIES
Essential:
• Good communication skills and ability to work in an international team consisting of team members located in various countries and departments across the globe.
• Ability to evaluate information from various costing data sources in order to produce monthly project forecasts.
• Ability to explain cost reporting discrepancies to project management teams, and communicate cost reporting issues to other departments (e.g. Engineering, Construction, and Accounting) and/or assist in the resolution of cost reporting issues
• Ability to communicate assumptions and content of project forecasts to team member and/or senior management.
• Proficiency in the English language, both written and verbal
• Basic knowledge of risk management concepts
• Good knowledge of the project schedule and use of MS Project Software
• Ability to manage amendments to project contracts, maintain a change order log, and generate and evaluate change order estimates.
• Working knowledge of project controls and ERP tools related to project execution (preferably SAP) is an advantage.
• Basic knowledge of contract types, accounting concepts and terminology (e.g. revenue, cash flow, and URLs), and procurement policies and terminology (e.g. commitments, milestone payments, and sole source versus bid)
• Understanding of functional departments and ability to communicate effectively within the project team.
• Understanding of project estimate breakdown (i.e. budgeting), and cost accounting structures
• Basic understanding of contract requirements and accurate general ledger reporting
• Basic knowledge of contract and construction terminology
• Ability to recognize and analyze cost spend anomalies.
• Basic knowledge of project delivery requirements to aid in the preparation of project forecast.
EDUCATION AND EXPERIENCE
Required Education / Experience:
• Around 5-8 years of Experience in Project Controls Background. Especially in processing equipment project execution, preferably Food & Beverage.
• Excellent written and verbal communication skills in English
• Experience with a work in an international environment.
• Bachelor's Degree of Engineering in business related or technical major is an advantage.
• Strong knowledge of Microsoft products, particularly MS Excel
• Working knowledge of SAP (or similar ERP software)
• Experience with SAP PS module, MS Projects, BW HANA, Power BI is an advantage.
• Ability to travel at least 15-20 percent of the time (mostly across APAC region)
