About the team:

Reporting to the Director, Professional Services (PS) Operations, the PS Operations Specialist plays a critical role in overseeing and contributing directly to key areas of operations management for the PS organization. Specifically, they will support critical areas such as data and system management, reporting and analytics, resource planning and allocation, continuous process improvement and act as an escalation point for regional delivery teams on operational issues. The PS Specialist will be called on to define and implement processes and procedures to maximise the efficient functioning of Kinaxis' delivery teams.o

What you will do
--------------------

• Partner with Client Partners and Delivery Leadership across multiple regions to understand the sales pipeline and ensure data integrity between Salesforce and Kantata.
• Establish and communicate a framework for appropriate data governance controls, ownership and oversight of critical areas such as PS KPIs (revenue, bookings, utilization, margin), forecasts, project set-ups, Kantata reports and dashboards, and the overall process for Kantata administration (changes, updates and additions).
• Act as a product owner for Kantata and partner effectively with IT and PS to prioritize system changes and drive enhancements to the tool. Engage with IT for other systems as needed.
• In conjunction with the PS Operations Director, define, document and communicate policies to support the smooth functioning of the team such as, but not limited to: resourcing meetings, project set-ups, time card approvals, set-up and payment of sub-contractors, recovery of customer payments and post-implementation reviews.
• Be familiar with the regional portfolio view when it comes to project staffing needs, skill sets to resource, high level resource demand / supply balancing, priorities and key challenges to resolve.
• Establish a cadence of regional resourcing meetings and ways of working with the goal of addressing tactical/operational matters as well as strategic resourcing topics in conjunction with PS Leaders who will own final resourcing decisions.
• Work closely with all stakeholders, including Professional Services, Kinaxis functions and 3rd parties. Act as the PS single point of contact on relevant topics for Finance, IT, Purchasing, Legal etc.
• Partner collaboratively with Finance team on matters such as bonus calculations, special project commercial conditions, non-billable investments and month-end requirements.
• In conjunction with relevant stakeholders, streamline, standardise and continuously improve operational processes for the overall PS organisation.
• Act as an escalation point for PS teams for any operational matters

Technologies we use • Intermediate to advanced level Excel skills.
• Previous hands-on experience with software designed to manage billable resources and projects an asset.

Knowledge and experience of resource planning and allocation best practices an asset.


What are we looking for

• Completion of a secondary school diploma, related post-secondary degree an asset.
• At least 5 years of progressive experience in a professional services role for a global organization.
• Strong project management skills with a proven track record of successfully rolling out new processes, projects or programs in an operations management or professional services capacity.
• Analytical mindset with the ability to analyze data and identify trends to inform decision-making.
• Able to present complex data in a precise and concise manner.
• Attention to detail, focuses on accuracy.
• A continuous improvement mindset. Able to identify and root cause inefficiencies, suggest and explore alternative options, implement improvements and gather feedback to iterate
• Team player highly focused on collaboration and strong communication skills, able to build trust and relationships with a multiple of stakeholders and cross-functional teams.
• Strong ability to juggle multiple projects and able to prioritise and shift with the needs of the business.

Sense of resilience and perseverance, comfortable with trial and error to work through the forming of a new centralized team.
