The Stock Management and Procurement Executive is responsible for managing inventory, procurement of all materials (edible and non-edible), updating the Pet Pooja Software with stock levels, recipes, and costing, and ensuring cost efficiency through effective tracking, supplier negotiations, and data management. Additionally, the role includes multitasking and supporting other back-office tasks as needed to ensure seamless operations.
Daily Tasks and Deliverables:
1. Inventory Management:
• Monitor daily inventory levels of ingredients, packaging, and non-edible materials.
• Conduct regular stock audits and maintain updated inventory records.
• Track stock locations across all storage spaces, including godowns and kitchen storage areas.
• Implement FIFO (First In, First Out) for perishable items to reduce wastage.
• Identify and manage expired or damaged stock appropriately.
2. Procurement:
• Material Sourcing:
• Source all raw materials (edible and non-edible), ensuring quality and cost efficiency.
• Identify reliable suppliers and negotiate the best prices.
• Order Management:
• Generate purchase orders based on stock requirements and ensure timely deliveries.
• Verify the receipt of goods, cross-check with purchase orders, and organize proper storage.
• Cost Management:
• Continuously find cost-effective solutions for materials to cut company costs.
• Work with suppliers to ensure competitive pricing and reliable supply chains.
3. System Updates and Recipe Management:
• Update the Pet Pooja Software with:
• Daily stock levels and movements.
• New recipes, including detailed inputs and updates from R&D.
• Recipe costing for all items under R&D and existing menus.
• Ensure that SOPs for all recipes and processes are accurately entered into the system.
4. Invoice and Data Management:
• Maintain and organize all invoices for procurement orders.
• Work closely with the accounts team to ensure proper tracking of expenses.
• Generate and verify invoices, ensuring no errors in financial documentation.
• Create and manage purchase logs for transparency.
5. Training and Reporting:
• Coordinate with the Pet Pooja team for comprehensive training on software usage.
• Connect with accountants to ensure efficient financial reporting and software integration.
• Prepare and present:
• Daily and weekly inventory and procurement reports.
• Reports highlighting any discrepancies, wastage, or cost-saving opportunities.
General Expectations:
• Multitasking and Flexibility: Step in to support other back-office roles, including customer relations, CRM updates, or order processing, during any absences or increased workload.
• Team Collaboration: Communicate effectively with kitchen staff, procurement teams, and other back-office employees to ensure smooth workflow.
• Proactive Problem-Solving: Address urgent inventory or procurement issues promptly to avoid operational disruptions.
• Cost and Efficiency Focus: Continuously explore ways to streamline procurement, minimize costs, and optimize resource utilization.

• Provide back-office support as required to ensure seamless day-to-day operations.
