Overview:
PMO will lead the 4-6 member PMO team and drive all PMO related activities - Planning, forecast, resource management, maintaining project plans & schedule, cost/budget management, actuals tracking in timesheet, validate invoices prior to customer submission, follow up on the prior payments, project reporting, data consistency in TRC PM Tools, implement administration best practices, update existing processes, procedures, and standards documentation to meet Industry best practices where applicable, etc.
Overall PMO Lead will coordinate with multiple stakeholders (PMs, Delivery Lead, Onshore PMO team, Leadership, etc.) and act as a gatekeeper for project financial health (budget, schedule, delivery) and track payment milestones completion to the end and raise timely alerts in case of cost/budget/revenue escalations to relevant stakeholders for quick course correction and follow up on the actions.
Responsibilities:
• Build and maintain strong relationships with TRC PMO, Project managers and IT department.
• Gather input from the sales team, delivery team, project team, vendors, and client stakeholders to develop project schedules and resource plans utilizing MS Project
• Coordinate & own project status reporting , collecting project updates from team members including updates to schedule and budget
• Manage project budgets effectively by ensuring forecasts and actual charges are in line and project costs are effectively controlled
• Keep project status updated in project management and workflow tools and maintain meticulous records (e.g., project financials, schedule, issues, risks, change control decisions)
• Is the gate keeper of the consistency of the project data in the tools (all projects and resources properly created, all charge codes correctly set, all timesheet loaded on-time, ...)
• Ensure that all projects are in compliance with IT Project Management Methodology and Key Controls
• Perform project planning and scheduling , manage tasks and coordinate project resources to meet objectives and timelines
• Proactively identify, manage and mitigate project risks and find ways to accomplish project goals in the context of dynamic business and technical environments
• Responsible for the evaluation of current ("As-is") project management (PM) tools, and for the recommendation on architecture and design of future ("To-Be") IT tools solution.
• Maintain project budget and Estimated at Completion financial figures
• Validate invoices to customer prior to their submission
• Identify and follow up on past due payments
• Responsible for identifying any functional, non-functional, integration, and implementation requirements of any PM software tools. This includes defining the standard configuration/templates if any.
• Coordinate project meetings, including developing agendas, meeting minutes, and preparing action items
• Provide expertise and knowledge to TRC PMO regarding IT application support and administration best practices, update existing processes, procedures, and standards documentation to meet best practices where applicable.
• Participate in IT change management processes to make improvements, fix bugs/issues, resolve incidents, and track and implement enhancements to the system.
• Provide support to PMO management for integrated planning activities, project portfolio reporting and coordination
• Perform other duties as assigned.
Qualifications:• Bachelor's Degree in Information Technology (IT), Computer Engineering, Business Administration, Post graduations in cost management, or equivalent degree is required.
• Experience in Budget and Forecast planning , tracking actual Costs
• 14-15 years' experience in IT organizations (including IT implementation project), preferable in PMO environment
• Good analytical skills - Ability to analyse data and create insightful dashboards to facilitate decision making for Leadership/Executives
• Proficiency in SharePoint, Power BI, MS Project, and MS Project Online is a must .
• Proficiency in Microsoft Office software and Office 365 cloud applications, (Word, Excel, PowerPoint, OneNote, Outlook, Teams), Flow, Visio, and Forms, is must .
• Hands on experience in preparing detailed Project Schedules using standard tools like Microsoft Project Planner (MPP) is must
• Project Management training/certification (i.e., PMP) or equivalent relevant experience is considered an asset.
• Must be able to manage team of 4-6 members
• Experience identifying, developing, and implementing business and IT processes.
• Excellent communication skills to assist in building strong relationships with business users, team members, and service providers.
• Experience with enterprise project management (EPM) software is an asset.
• Experience working in an electric utility, including understanding the regulatory environment and process, is considered an asset.
