As a Personal Secretary to MD at Vingro Consultancy Services, your role would involve being the first point of contact for clients, visitors, and employees. • Reception Duties :
• Greet and welcome visitors, clients, and candidates in a professional and friendly manner.
• Manage the front desk area, including handling incoming calls, directing calls to appropriate personnel, and taking messages as needed.
• Visitor and Client Management :
• Register visitors and clients, issue visitor badges, and maintain visitor logs.
• Notify employees of visitor arrivals and ensure visitors are attended to promptly.
• Appointment Scheduling :
• Schedule appointments and meetings for executives and other team members using electronic calendars or scheduling software.
• Ensure meeting rooms are prepared and set up with necessary equipment and materials.
• Administrative Support :
• Provide general administrative support such as photocopying, scanning, filing, and faxing documents.
• Assist with mail handling and distribution, including sorting incoming mail and preparing outgoing mail.
• Communication Management :
• Monitor and respond to emails and inquiries directed to the general company email address.
• Maintain updated contact lists and company directories.
• Office Coordination :
• Coordinate with facilities management for maintenance and repairs of office equipment and facilities.
• Order and maintain office supplies and ensure stock levels are adequate.
• Client and Employee Support :
• Assist clients and employees with queries and provide information about company services and procedures.
• Handle requests for information and resolve administrative problems and inquiries.
• Security and Safety :
• Monitor and maintain the security of the reception area and ensure compliance with safety regulations.
• Follow procedures for handling emergency situations, including contacting emergency services when necessary.
• Professionalism and Image :
• Maintain a neat and professional appearance and demeanor at all times.
• Uphold company values and represent Vingro Consultancy Services positively to all visitors and stakeholders.
• Team Collaboration :
• Collaborate with other administrative and support staff to ensure seamless operations.
• Assist in organizing company events, meetings, and conferences as required.

• Maintain confidentiality of sensitive information and handle information with discretion.
