Job Summary:
We are seeking an organized, efficient, and proactive Personal Secretary to provide comprehensive administrative and secretarial support to the Chairman. The ideal candidate should be able to manage multiple tasks, prioritize effectively, and ensure the smooth operation of the Chairman's office.
Key Responsibilities:
Administrative Support: Manage the Chairman's calendar, including scheduling meetings, appointments, and travel arrangements. Coordinate and prepare for meetings, including agenda preparation, minute taking, and follow-up on action items. Handle correspondence, emails, and phone calls on behalf of the Chairman. Maintain an organized filing system for important documents and records.
Communication: Act as the primary point of contact between the Chairman and internal/external stakeholders.Draft, review, and send communications on behalf of the Chairman.Screen and direct calls, handle inquiries, and provide appropriate responses.
Travel Coordination: Arrange travel itineraries, accommodations, and transportation for the Chairman.Ensure all travel-related documents, such as visas and tickets, are in order and up-to-date.
Confidentiality: Handle sensitive and confidential information with discretion and integrity.Ensure all private matters are dealt with confidentially and professionally.
Office Management: Manage office supplies and ensure the Chairman's office is well-maintained.Liaise with other departments to ensure seamless operations and communications. Support the organization of corporate events, conferences, and social activities as needed.
Personal Assistance: Assist with personal tasks and errands as required by the Chairman.Provide support in managing personal appointments and commitments.
Qualifications: Proven experience as a Personal Secretary, Executive Assistant, or in a similar role.Strong organizational and time management skills.Excellent verbal and written communication skills. Proficiency in MS Office (Word, Excel, PowerPoint, Outlook). Ability to work independently and under pressure. High level of discretion and confidentiality. Strong interpersonal skills and the ability to build relationships with stakeholders. A proactive approach to problem-solving with strong decision-making skills.
Preferred Qualifications: Bachelor's degree in Business Administration, Management, or a related field. Experience working with C-level executives. Multilingual abilities are an advantage.
Work Environment: Occasional travel is required. Flexibility to work beyond regular office hours.
