Position: Personal Secretary to the Deputy Director and Chairman - Strategy.
Location: Srusti Academy of Management (Autonomous), Bhubaneswar
Qualification: Bachelor's or Master's in Pharmacy (B.Pharm / M.Pharm)
Experience: Fresher or 1-2 years of experience in administrative roles, preferably with exposure to medical equipment knowledge with CBSE/ICSE schooling.

Job Summary:

We are seeking a dynamic and highly organized Personal Secretary with a background in Pharmaceutical studies . The ideal candidate will assist the Deputy Director and Chairman in daily operations and coordinate tasks related to medical equipment management. This role offers a unique opportunity for a fresh graduate to gain professional exposure at the intersection of administration, healthcare, and pharmaceuticals.

Key Responsibilities:

• Administrative Support:
• Manage the calendar, appointments, meetings, and travel plans of Deputy Director and Chairman.
• Prepare reports, presentations, and meeting agendas as required.
• Coordinate with internal teams for smooth office operations.
• Medical Equipment Coordination:
• Assist in tasks requiring basic knowledge of medical equipment and relevant documentation.
• Stay updated on medical technologies and trends relevant to the institution.
• Liaise with vendors and suppliers to track orders, deliveries, and service updates for equipment.
• Communication & Coordination:
• Act as the point of contact between the Chairman and internal/external stakeholders.
• Maintain professional communication on behalf of the Deputy Director and Chairman, including emails and phone calls.
• Facilitate follow-ups and ensure deadlines are met for assigned tasks.
• Documentation & Record Management:
• Manage confidential documents and maintain accurate records.
• Create, update, and organize reports, memos, and minutes of meetings.
• Ensure proper filing and safekeeping of all official documentation.

Desired Skills:

• Strong organizational and time-management abilities.
• Excellent verbal and written communication skills in English.
• Basic knowledge of pharmaceutical products and medical equipment .
• Proficiency in MS Office and email management.
• Ability to maintain confidentiality and handle sensitive information discreetly.
• A proactive attitude with problem-solving skills.

Educational Qualification:

• B.Pharm / M.Pharm from a recognized university.
