Job Description

We are looking for a highly organized, efficient, and trustworthy Personal Secretary to support a senior executive. The role requires multitasking, excellent communication skills, and discretion in handling confidential matters. The Personal Secretary will manage the executive's schedule, handle correspondence, and provide administrative support to ensure the smooth running of daily operations.

Key Responsibilities:

Manage and maintain the executive's calendar, scheduling appointments, meetings, and events. Screen and prioritize incoming calls, emails, and mail, ensuring timely responses. Draft and proofread correspondence, reports, and presentations. Organize and maintain files and documents, both electronic and paper. Make travel arrangements, including booking flights, hotels, and transportation. Prepare agendas and take minutes during meetings, ensuring follow-up on action items. Liaise with clients, partners, and internal teams to coordinate schedules and facilitate communication. Handle confidential and sensitive information with the highest level of professionalism and discretion. Assist with personal errands and other administrative tasks as required. Maintain office supplies and place orders when necessary. Perform general office management duties such as photocopying, filing, and faxing. Assist with special projects and ad-hoc tasks as assigned.

Skills & Qualifications:

Proven experience as a personal secretary, administrative assistant, or similar role. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Excellent written and verbal communication skills. High level of discretion and confidentiality. Strong organizational and time-management abilities. Ability to work independently and handle multiple tasks simultaneously. Attention to detail and problem-solving skills. Professional demeanor and positive attitude. Flexible availability to support the executive's needs.

Physical Requirements:

Ability to work at a desk for extended periods. Ability to carry light office supplies and documents.

Salary 35000
