Job Summary :
We are seeking a proactive, organized, and highly efficient Personal Assistant and Admin to provide personalized administrative support to our executive team and ensure the smooth running of daily business operations. The successful candidate will manage schedules, coordinate meetings, handle correspondence, and oversee various office administration tasks and handling mail . This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities :
• Manage to schedule appointments, and meetings.
• Act as the first point of contact for the executive, handling phone calls, emails, and correspondence.
• Prepare meeting agendas, take minutes, and follow up on action items.
• handle confidential tasks as required.
• Handle office administrative tasks such as filing, data entry, and document management.
• Coordinate and organize internal and external meetings, conferences, and events.
• Manage office communications, responding to emails, phone calls, and inquiries.
• Process and track expense reports, invoices, and other financial documentation.
• Assist with organizing and tracking projects, including timelines and deliverables.
• Collaborate with different departments to gather necessary data and reports.
• Coordinate tasks and communicate project updates as needed.
• Draft, edit, and proofread communications, reports, presentations, and other documents.
• Manage databases and ensure proper documentation of records.
• Create reports, spreadsheets, and presentations for management.
• Handle sensitive and confidential information with integrity.
• Handle Managing director mail accordingly
Required Skills and Qualifications :
• Proven experience as a Personal Assistant to Founder and managing director who is able to handle his Email and call and update day to day activity in clear
• Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to handle sensitive information with discretion and professionalism.
• Strong problem-solving skills and ability to work independently.
• Attention to detail and ability to multitask in a fast-paced environment.
Preferred Qualifications :
• Bachelor's/Master in degree
• Experience office management
