Job Overview:
We are seeking a highly organized and proactive Personal Assistant (PA) to provide comprehensive support to our Senior Executive. The ideal candidate will have excellent communication skills, the ability to manage multiple tasks efficiently, and a professional demeanor. A key aspect of this role is to attend meetings with the Senior Executive, take detailed notes, and manage follow-up actions effectively.
Key Responsibilities:
• Meeting Support:
• Accompany the Senior Executive to meetings, taking accurate and detailed notes.
• Prepare meeting agendas and ensure all necessary materials are available.
• Manage follow-up actions from meetings, including coordinating with relevant departments and tracking progress.
• Calendar and Schedule Management:
• Schedule and organize meetings, appointments, and events for the Senior Executive.
• Prioritize and manage the Senior Executive's calendar to ensure efficient use of time.
• Communication and Coordination:
• Serve as a point of contact between the Senior Executive and internal/external stakeholders.
• Draft and manage correspondence, including emails, memos, and reports.
• Coordinate and liaise with various departments to ensure smooth operations and timely completion of tasks.
• Administrative Support:
• Perform general administrative tasks such as filing, data entry, and document management.
• Prepare and edit documents, presentations, and reports as required.
• Confidentiality and Discretion:
• Handle sensitive and confidential information with the utmost discretion.
• Ensure all interactions and communications uphold the Senior Executive's privacy and organizational confidentiality.
• Travel Arrangements:
• Arrange travel logistics, including bookings for flights, accommodation, and transportation.
• Prepare travel itineraries and ensure all arrangements are in order.
• Project Assistance:
• Assist with special projects and tasks as assigned by the Senior Executive.
• Conduct research and compile information to support project initiatives.
Qualifications:
• Education: Bachelor's degree in Business Administration, Management, or a related field is preferred.
• Experience: Minimum of 3 years of experience as a Personal Assistant or in a similar administrative role.
• Skills:
• Excellent organizational and multitasking abilities.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
• Ability to maintain professionalism and confidentiality at all times.
• Attributes:
• Proactive and resourceful with a problem-solving mindset.
• High attention to detail and accuracy.
• Ability to work independently and as part of a team.
