Job Title: Executive Assistant to Managing Director (preferably female)

Reports To: Managing Director (MD)
Employment Type: Full-Time and 6 days a week
Salary Package: Rs. 45000/- CTC per month
Job Summary:
AA Hospitality LLP is seeking a highly organized, proactive, and efficient Executive Assistant to support the Managing Director (MD). The ideal candidate will be responsible for providing high-level administrative and operational support, managing day-to-day schedules, coordinating meetings, and ensuring smooth communication between the MD and internal/external stakeholders. This role demands a high level of confidentiality, excellent time management, and the ability to handle multiple responsibilities seamlessly.
Key Responsibilities:
• Administrative Support
• Manage the MD's daily calendar, including scheduling and coordinating appointments, meetings, and travel arrangements.
• Prepare and review documents, reports, and presentations for the MD, ensuring accuracy and high standards.
• Handle all correspondence on behalf of the MD, including drafting emails, letters, and other communications.
• Meeting Coordination
• Coordinate and organize meetings, including internal team meetings and meetings with external stakeholders.
• Prepare agendas, take detailed minutes, and follow up on action items to ensure timely completion.
• Assist in arranging special events, presentations, and board meetings as required.
• Travel & Expense Management
• Arrange domestic and international travel for the MD, including transportation, accommodation, and visa requirements.
• Prepare detailed travel itineraries and ensure all logistics are efficiently organized.
• Manage and reconcile expense reports and maintain records of travel expenses.
• Liaison & Communication
• Act as a key point of contact between the MD and internal departments, ensuring smooth flow of information and effective communication.
• Build strong relationships with stakeholders, clients, and vendors, managing any inquiries or requests directed to the MD's office.
• Project Management
• Assist the MD in tracking and coordinating ongoing projects, ensuring deadlines and milestones are met.
• Conduct research and prepare reports or summaries on various topics as requested by the MD.
• Support the MD in the implementation of strategic initiatives and company objectives.
• Confidentiality & Discretion
• Handle sensitive information with the utmost confidentiality and professionalism.
• Ensure compliance with company policies and ethical standards in all activities.
• Office Management Support
• Oversee office administrative tasks related to the MD's office, including maintaining filing systems, managing office supplies, and coordinating with the facilities team.
• Support the administrative team on various tasks as needed, ensuring efficient operations across the office.
Qualifications & Requirements:
• Education: Bachelor's degree in Business Administration, Communications, or a related field preferred.
• Experience: 3-5 years of experience as an Executive Assistant or similar role, preferably supporting senior executives.
• Skills:
• Excellent written and verbal communication skills.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
• Strong organizational skills with the ability to manage multiple tasks simultaneously and meet deadlines.
• High level of professionalism, discretion, and confidentiality.
• Ability to work independently and make sound decisions in a fast-paced environment.
• Detail-oriented and proactive in anticipating needs and requirements.
