Job Summary: We are seeking a highly organized and proactive Personal Assistant to support our Managing Director. The ideal candidate will be responsible for coordinating communication with clients, managing schedules, handling administrative tasks, maintaining official records, and assisting with all aspects of the Managing Director's work. This role requires excellent verbal and written communication skills, attention to detail, and the ability to travel for business requirements.
Key Responsibilities:
• Client Coordination:
• Serve as the primary point of contact between the Managing Director and clients.
• Communicate effectively with clients verbally and through email.
• Ensure timely follow-up on client inquiries and requests.
• Scheduling and Calendar Management:
• Manage and maintain the Managing Director's calendar.
• Schedule and coordinate meetings, appointments, and travel arrangements.
• Ensure the Managing Director is informed of upcoming commitments and responsibilities.
• Administrative Support:
• Handle a wide range of administrative tasks, including preparing documents, reports, and presentations.
• Organize and maintain office files and records.
• Assist with official bookkeeping and financial record-keeping.
• Data and Records Management:
• Update and maintain accurate data and records.
• Ensure all official documents are properly filed and easily accessible.
• Travel Coordination:
• Arrange business travel, including booking flights, accommodations, and transportation.
• Prepare detailed itineraries and ensure all travel arrangements are in place.
• General Assistance:
• Assist the Managing Director with day-to-day tasks and special projects as needed.
• Handle confidential information with discretion.
• Perform other duties as assigned to support the Managing Director's work.
• Working Conditions:
• This position may require travel for business purposes.
• Flexibility in working hours may be required to accommodate the Managing Director's schedule.
Qualifications:
• Excellent verbal and written communication skills.
• Strong organizational and time-management abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to work independently and prioritize tasks.
