Gross Salary: 20K - 25K (depending on experience and present CTC)
Overview:
We are seeking a dedicated and highly organized Personal Assistant (PA) to support our Director in managing their day-to-day activities and ensuring the efficient operation of the office. The ideal candidate will have 2-3 years of relevant experience, exceptional organizational skills, and the ability to handle sensitive information with the utmost confidentiality.
Qualifications:
• Education: Bachelor's degree in Business Administration, Management, or a related field is preferred.
• Experience: 2-3 years of experience in a similar role, preferably supporting senior management or executive-level staff.
Requirements:
• The ideal candidate should have experience in the IT industry and be familiar with management tools like Asana, Jira, and Trello .
• They should also be acquainted with AI tools for efficient task completion.
• Besides task management, the candidate should be capable of managing employees as needed.
• Strong decision-making skills are essential.
• The candidate should be a quick learner , adaptable to change, and proficient in multitasking , including managing time, people, and work simultaneously.
• He/she should excel at finding solutions independently or proposing viable options.
• Research skills and the ability to source accurate information are also important.
Key Responsibilities:
# Administrative Support:
• Manage and maintain the Director's calendar, scheduling appointments, meetings, and travel arrangements.
• Screen and direct phone calls, emails, and other correspondence.
• Prepare reports, presentations, and other documents as requested by the Director.
• Conduct research and compile data to assist the Director in decision-making processes.
# Meeting Coordination:
• Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
• Arrange logistics for meetings and events, both onsite and offsite.
# Travel Management:
• Plan and book travel itineraries, including flights, accommodation, and transportation.
• Prepare travel expense reports and manage reimbursements.
# Office Management:
• Maintain office supplies and ensure the office is well-organized.
• Liaise with other staff members and departments to facilitate smooth office operations.
• Handle confidential information and maintain the security of records and files.
# Communication:
• Act as a point of contact between the Director and internal/external stakeholders.
• Draft, review, and send communications on behalf of the Director.
• Ensure timely and accurate dissemination of information.
# Special Projects:
• Assist the Director with special projects, research, and other ad-hoc tasks as required.
• Provide support in organizing company events and initiatives.
