Key Responsibilities

Travel Arrangements:

• Plan and coordinate travel arrangements, including flights, accommodations, and transportation, for the director and accompanying team members.

Office Management:

• Monitor inventory of office supplies, order new supplies as needed, and ensure all office equipment is in working order.

Meeting Coordination:

• Coordinate logistics for meetings, including room reservations, audiovisual setup, and catering.

Transportation:

• Safely drive the director to and from various locations, including meetings, appointments, and events, while adhering to traffic rules and regulations.
• Plan routes in advance to ensure timely arrivals and departures, considering traffic conditions and alternative routes.

Vehicle Maintenance:

• Regularly inspect and maintain the director's vehicle, ensuring it is clean, fueled, and in good working condition.
• Schedule routine maintenance and repairs as needed.

Safety and Professionalism:

• Prioritize the safety of the director and passengers at all times.
• Exhibit a professional and courteous demeanor when interacting with the director, colleagues, and other individuals encountered during transportation.
• Provide assistance to the director with carrying luggage, packages, and other items as needed.

Communication and Record Keeping:

• Maintain open communication with the director regarding travel schedules, changes, and any relevant information.
• Maintain accurate records of mileage, fuel consumption, and any incidents that occur during travel.

Administrative Support:

• Manage the Director's calendar, scheduling appointments, meetings, and travel arrangements.
• Coordinate and prioritize incoming requests and correspondence, including phone calls, emails, and mail.
• Draft and edit correspondence, reports, presentations, and other documents on behalf of the Director.
• Prepare meeting agendas, materials, and presentations, and take minutes as needed.
• Conduct research and gather information on various topics as requested by the Director.
• Liaise with internal departments, external stakeholders, and clients on behalf of the Director.
• Assist with special projects, events, and initiatives as assigned by the Director.
• Anticipate the Director's needs and proactively address issues to ensure smooth operations.
• Manage and maintain confidential information with the utmost discretion and professionalism.
• Provide administrative support to other members of the executive team as needed.

Education And Experience

Qualifications and Skills:

• Valid driver's license with a clean driving record.
• Proven experience as a professional driver, preferably for executive or VIP transportation.
• Knowledge of local traffic laws and regulations.
• Strong familiarity with the local area and traffic patterns.
• Excellent navigation skills and the ability to use GPS systems effectively.
• Professional and respectful attitude.
• Ability to adapt to changes in schedule and route as needed.
• Discretion and ability to maintain confidentiality.
• High school diploma or equivalent; associate's degree or higher preferred.
• Proven experience as an office assistant, executive assistant, or similar role.
• Basic proficiency in office software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Strong organizational and time-management skills.
• Excellent verbal communication skills.
• Ability to multitask and adapt to changing priorities.
• Detail-oriented and proactive problem-solving skills.

Job Type: Full-time

Pay: ?15,000.00 - ?20,000.00 per month

Schedule:

• Day shift
• Monday to Friday
• Weekend availability

Supplemental pay types:

• Quarterly bonus
