Job Summary:
As a Personal Assistant, you will be responsible for providing comprehensive administrative support to MD. Your role will include managing complex schedules, coordinating meetings, handling both professional and personal correspondence, and ensuring seamless day-to-day operations. The ideal candidate will be highly organized, proactive, and adept at multitasking, with a professional demean or and the ability to maintain discretion at all times.
Key Responsibilities :Calendar and Schedule Management:
• Coordinate and manage the supervisor's complex calendar, including appointments, meetings, and travel arrangements.
• Prioritize urgent tasks and ensure that appointments and commitments are met in a timely manner.
• Anticipate and prepare for upcoming meetings, deadlines, and key dates.
• Organize both personal and professional schedules, ensuring efficient time management.
Communication and Correspondence:
• Act as the primary point of contact for phone calls, emails, and other communications, ensuring timely responses.
• Draft, proofread, and edit correspondence, presentations, and other written documents with attention to detail.
• Serve as a liaison between the executive and internal/external stakeholders, ensuring clear and effective communication.
Travel Arrangements:
• Book and manage all aspects of business travel, including flights, hotels, ground transportation, and related accommodations.
• Prepare detailed itineraries and ensure smooth travel logistics, keeping the executive informed of any changes.
• Handle travel-related paperwork, including visas, and ensure all necessary documents are prepared in advance.
Meeting Support:
• Organize and coordinate meetings, including preparing agendas, taking notes, and following up on action items.
• Schedule video conferences and webinars, ensuring all technical and logistical elements are handled.
• Create presentations, reports, and other materials needed for meetings.
Documentation and Filing:
• Maintain a well-organized filing system, both physical and digital, for easy access to confidential documents.
• Prepare and manage reports, presentations, and documents for meetings or other business needs.
• Implement and uphold filing systems that ensure security and easy retrieval of sensitive information.
Project Assistance:
• Support special projects by tracking progress, organizing resources, and assisting with research.
• Coordinate with team members to ensure that project timelines and deliverables are met.
• Assist in the preparation of project reports, presentations, and other key documents.
Office Management:
• Assist with the procurement and management of office supplies, ensuring the executive has all necessary resources.
• Help coordinate vendor relationships and ensure office equipment is maintained.
• Ensure the office is maintained in a clean and professional environment, ready for meetings and other activities.
Personal Assistance:
• Handle personal tasks for the executive as needed, such as scheduling personal appointments and managing household tasks.
• Provide assistance with errands, managing personal communications, or organizing personal events.
