Job Overview:
Position plays a pivotal role in providing administrative and executive support. This role involves managing schedules, handling correspondence, managing travel desk, organizing meetings, and performing various administrative tasks to ensure the efficient operation of CEO's office.
Key Responsibilities :
• Fund Management: Person will be working as a fund manager for the NGO, whose primary responsibility will be securing funds from CSR initiatives and government schemes.
• Schedule Management: Organize and maintain the calendar of Director, by scheduling appointments, meetings and travel arrangements.
• Communication Handling: Manage incoming calls, emails, and other forms of correspondence. Draft and proofread letters, memos, reports, and presentations on behalf of the CEO.
• Information Management: Maintain accurate records, databases, and filing systems. Ensure confidentiality and integrity of sensitive information and distribute correspondence.
• Meeting Coordination: Arrange and coordinate meetings, conferences, and other events. Prepare agendas, take meeting minutes, and distribute relevant documents.
• Travel Arrangements: Make travel arrangements, including booking flights, accommodations, transportation, and preparing travel itineraries.
• Office Management: Oversee the smooth operation of the Director's office. Procure office supplies and handle basic administrative tasks.
• Screening: Screening and prioritizing incoming requests, visitors, and meeting requests.
• Liaison and Coordination: Serve as a point of contact between the management and internal/external stakeholders, including clients, partners, and employees.
• Special Projects Support: Assist in special projects or initiatives as assigned, which may involve conducting research, coordinating events, or managing specific tasks.
• Financial Administration: Assist in processing invoices, and expense reports. Coordinate with the finance department for timely payments and reconciliations.
Skills and Qualifications:
• Excellent organizational and time-management skills. Strong communication abilities in English & Gujarati, both written and verbal. Proficiency in office software (e.g., Microsoft Office, Google Workspace ect).
• Attention to detail and ability to multitask effectively. Discretion and trustworthiness in handling confidential information. Adaptability and ability to work in a fast-paced environment.
• Master's Degree with good scores, relevant certification may be preferred.

• Adaptability: Ability to adapt to changing priorities and handle unexpected situations with composure.
• Empathetic: Since the position will be working for NGO and work with farmers, the role involves working closely with people from diverse backgrounds, requiring sensitivity and empathy.

• Resourcefulness: Find creative solutions to challenges and demonstrate a willingness to learn and improve processes.

• Tech Savvy : should be technically updated with new technologies and asses the requirement in the system.

Pay: ?300,000.00 - ?400,000.00 per year
