Job Summary:
The Dental Hostess is responsible for creating a welcoming and efficient environment for patients at a dental practice. This role involves managing patient interactions, handling administrative tasks, and supporting the dental team to ensure smooth daily operations.
Key Responsibilities:
• Front Desk Management:
• Greet patients warmly as they arrive at the dental office, ensuring a friendly and professional atmosphere.
• Check patients in for their appointments, verify personal and insurance information, and update records as needed.
• Answer phone calls, schedule appointments, and handle patient inquiries or concerns.
• Confirm upcoming appointments and follow up with patients for appointment reminders.
• Patient Interaction:
• Assist patients with completing necessary forms and documents, including medical history and insurance information.
• Provide information about dental procedures, services, and financial options in a clear and approachable manner.
• Ensure patients are comfortable while waiting for their appointments, offering refreshments and addressing any immediate needs.
• Administrative Duties:
• Maintain an organized and clean front office area, including the reception desk and waiting room.
• Process patient payments, manage billing procedures, and handle insurance claims or verification.
• Maintain patient records, including updating contact information and documenting any changes in patient status.
• Assist with general office tasks such as filing, data entry, and managing correspondence.
• Coordination and Support:
• Collaborate with dental staff to ensure that patient flow and appointment schedules are efficient.
• Coordinate with dental assistants and hygienists to prepare for patient appointments and ensure that necessary equipment and materials are ready.
• Assist with managing patient records, including filing and retrieving documents as requested.
• Compliance and Confidentiality:
• Adhere to all health and safety regulations, including infection control protocols and patient confidentiality laws (HIPAA).
• Ensure that all patient interactions comply with professional standards and organizational policies.
• Emergency Response:
• Be prepared to manage minor emergencies or issues that may arise in the front office, such as handling upset patients or addressing scheduling conflicts.
Qualifications:
• Education and Training:
• High School Diploma or equivalent; additional certification in medical office administration or dental assisting is a plus.
• Experience in a customer service or administrative role is preferred, especially in a healthcare or dental setting.
• Skills:
• Excellent communication and interpersonal skills for interacting with patients, staff, and vendors.
• Strong organizational abilities and attention to detail for managing administrative tasks and maintaining records.
• Proficiency in using office equipment (phones, computers, fax machines) and dental practice management software.

• Professional demeanor with a friendly and approachable attitude.
• Ability to handle confidential information with discretion and maintain patient privacy.

Working Conditions:
