Overview :
We are seeking a highly organized and proactive Personal Assistant (PA) to support our Managing Partner in all administrative and operational tasks. The ideal candidate will be adept at managing schedules, coordinating meetings, handling confidential information with discretion, and providing exceptional support to ensure the Managing Partner's efficiency and effectiveness.
Responsibilities:
1. Calendar Management:
- Schedule and manage appointments, meetings, and travel arrangements for the Managing Partner.
- Coordinate with internal and external stakeholders to ensure timely and efficient scheduling.
2. Communication Management:
- Screen and respond to emails, phone calls, and inquiries on behalf of the Managing Partner.
- Draft and prepare correspondence, presentations, and reports as needed.
3. Administrative Support:
- Provide comprehensive administrative support, including managing files, records, and documents.
- Handle expenses, invoices, and reimbursements in accordance with company policies.
4. Meeting Coordination:
- Prepare agendas, take minutes, and follow up on action items for meetings attended by the Managing Partner.
- Arrange logistics for meetings, conferences, and special events.
5. Information Management:
- Maintain confidential information and files in a secure and organized manner.
- Conduct research and compile data as required by the Managing Partner.
6. Relationship Management:
- Build and maintain relationships with key stakeholders, clients, and partners.
- Serve as a point of contact for the Managing Partner, demonstrating professionalism and confidentiality.
7. Special Projects:
- Assist in the coordination and execution of special projects, initiatives, or events as directed by the Managing Partner.
- Manage project timelines, deliverables, and documentation as needed.
Qualifications:
- Proven experience as a Personal Assistant, Executive Assistant, or similar role supporting senior management.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills, including a professional demeanor.
- Proficiency in MS Office (Word, Excel, PowerPoint) and other relevant software.
- Discretion and confidentiality in handling sensitive information.
- Ability to work independently with minimal supervision, while also functioning as part of a team.
- MBA degree preferred, but not required, depending on relevant experience.
