Job Description

Overview: As a Production Associate specializing in sourcing and procurement, you will be responsible for managing the procurement process of raw materials and packaging materials essential for production. This role involves coordinating with vendors, negotiating contracts, updating inventory trackers, preparing purchase orders (POs), and ensuring timely delivery of materials to support manufacturing operations. You will collaborate closely with internal stakeholders, vendors, and suppliers to optimize procurement strategies and maintain efficient supply chain operations.

Key Responsibilities:

• Identify and evaluate potential suppliers/vendors for raw materials and packaging materials.
• Conduct supplier assessments, negotiate pricing, terms, and conditions, including payment terms, lead times, minimum order quantities (MOQs), and service level agreements (SLAs).
• Develop and maintain strong relationships with suppliers to ensure a reliable and cost-effective supply chain.

Inventory Tracking and Management:

• Maintain accurate and up-to-date inventory records.
• Monitor inventory levels of raw materials and packaging materials to prevent stockouts and ensure timely replenishment.
• Conduct regular inventory audits and reconcile discrepancies to maintain inventory accuracy.

Purchase Order (PO) Processing:

• Generate and process purchase orders for raw materials and packaging materials based on production requirements and inventory levels.
• Coordinate with internal departments (e.g., production, logistics) to ensure alignment of procurement activities with production schedules.

Negotiation and Contract Management:

• Negotiate favorable terms and conditions with vendors, including pricing, discounts, payment terms, and delivery schedules.
• Draft and finalize contracts, agreements, and Master Service Agreements (MSAs) with vendors in collaboration with legal and procurement teams.

Coordination and Communication:

• Serve as the primary point of contact for vendor communications and inquiries related to orders, deliveries, and quality issues.
• Collaborate with stakeholders across departments (e.g., production, quality assurance, finance) to address procurement-related issues and optimize supply chain efficiency.

Payments and Financial Tracking:

• Track and manage payments to vendors, ensuring accuracy and timeliness in processing invoices and payments.
• Maintain a payments ledger and reconcile accounts payable transactions related to procurement activities.

Continuous Improvement:

• Monitor market trends and supplier performance to identify opportunities for cost savings, process improvements, and risk mitigation strategies.
• Implement best practices in procurement processes and contribute to the development of procurement policies and procedures.

Skills and Qualifications:

• Bachelor's degree in Supply Chain Management, Business Administration, or a related field preferred.
• Proven experience in procurement, sourcing, or supply chain management, ideally within a manufacturing or production environment.
• Strong negotiation skills and building effective relationships with vendors and stakeholders.
• Excellent organizational and time-management skills, with attention to detail and accuracy in data entry and record-keeping.
• Solid understanding of procurement processes, contract management, and logistics operations.

Working Conditions:

• The role may require occasional travel to visit vendors or attend industry events.
• Must be comfortable working in a fast-paced environment with deadlines and changing priorities.
• Adherence to safety regulations and compliance with company policies and procedures.
