The right candidate for this role is also thorough, organized and enjoys collaborating with others. The Onsite Events Manager (OEM) is the main point of contact throughout the development and execution of onsite team experiences in the Bangaluru location. As such, they must be proactive in planning and communication as well as organized with consistent follow through. After receiving the initial event inquiry, they will meet with the stakeholder and Sr. Events Manager to begin building out the event agenda. From there, the OEM will be responsible for all portions of the planning to include event flow, food and beverage, A/V, and all other applicable elements. They will provide proactive updates to the stakeholder throughout, as well as strategic recommendations to ensure the stakeholder goals are met. Throughout onsite execution, they will serve as the logistical lead and attendee concierge to ensure all needs are handled with the utmost customer service. As such, they should be extremely flexible and quick thinking to continuously and seamlessly solve issues that arise. After the event concludes, the OEM will complete post-program reconciliation to include financials, data, and stakeholder communication. Because of the hands-on approach needed, onsite presence will be required 3+ days per week. The Onsite Events Manager will report to the brand Account Director. Accountabilities: Understand the experience program goals and be responsible for executing strategically and tactically. Actively build and nurture stakeholder and vendor partner relationships. Take active role in discovery sessions with stakeholders to understand their individual experience goals. Establish consistent communication via stakeholder preferred method for ongoing planning communication. Develop and project management the planning timeline for each experience, keeping all vendor partners on track and on budget. Manage the financials of each individual experience budget and track onsite actuals to properly invoice vendors post event. Responsible for tactical planning and execution including A/V, food and beverage, production, logistics, budgeting, collateral and post-event surveys. Source and manage vendors and adeptly control contract negotiations. Develop thorough onsite event execution plan to include back-up scenarios and emergency plans. Serve as onsite execution team, anticipating challenges and responding quickly to last minute needs with elevated hospitality. Act as the main point of contact for host team (facilities, F&B, etc.) during execution. Advance all event set-up to ensure that all planning elements are reflected Track counts/spend and document as needed. Complete post-project reconciliation to include cross-checking invoices, ensuring payments are made, data is analyzed and documented, and summaries are distributed to stakeholders. Experience & characteristics: 4+ plus years experience in event planning or venue management Self-starter & resourceful Confident leader and communicator, polished presenter Able to build relationships quickly and work with many different personalities Inherently positive with a strong work ethic Flexible multi-tasker Organized with consistent follow-through Strong command of the English language, both written and spoken, is essential for effective communication within our global team and with our clients.
