Job Summary:
The Office In-Charge is responsible for overseeing the day-to-day operations of the office, ensuring that administrative processes run smoothly, and managing the office team. Additionally, the role requires a strong sales background, as the Office In-Charge will be tasked with driving sales initiatives, managing client relationships, and contributing to business growth. This position demands excellent organizational, leadership, and communication skills.
Key Responsibilities:
Office Management:
• Oversee daily office operations to ensure efficiency and productivity.
• Manage office supplies inventory and place orders as necessary.
• Coordinate maintenance of office equipment and facilities.
• Implement and maintain office policies and procedures.
• Supervise office staff, including administrative assistants and support staff, providing guidance and performance evaluations.
• Organize and coordinate office events, meetings, and travel arrangements.
Sales & Business Development:
• Develop and implement sales strategies to achieve company revenue targets.
• Identify and pursue new business opportunities to expand the customer base.
• Maintain and build strong relationships with existing clients.
• Collaborate with the sales team to develop promotional campaigns and sales plans.
• Analyze sales data to identify trends, opportunities, and areas for improvement.
• Prepare sales reports and present findings to senior management.
• Assist in the preparation of sales proposals, contracts, and agreements.
Customer Relationship Management:
• Serve as the primary point of contact for client inquiries and concerns.
• Ensure high levels of customer satisfaction through excellent service.
• Manage customer accounts and track client interactions in the CRM system.
• Resolve customer issues and complaints promptly and effectively.
Financial & Administrative Duties:
• Assist in budget preparation and expense management.
• Monitor office expenses and manage office budgets.
• Handle payroll, invoicing, and other financial transactions as needed.
• Ensure compliance with company policies and legal requirements.
Team Leadership:
• Lead, mentor, and motivate the office team to achieve company goals.
• Provide training and development opportunities for staff.
• Foster a positive work environment that promotes teamwork and collaboration.
Qualifications:
• Education: Bachelor's degree in Business Administration, Sales, Marketing, or a related field preferred.
• Experience: Minimum of 3-5 years of experience in office management with a strong background in sales.
• Proven track record of meeting or exceeding sales targets.
Skills:
• Excellent organizational and multitasking abilities.
• Strong leadership and team management skills.
• Proficiency in CRM software and Microsoft Office Suite.
