The Office Executive will be responsible for managing and coordinating office activities to ensure smooth and efficient functioning. This role includes a variety of administrative tasks such as managing communications, maintaining records, coordinating schedules, and supporting various office functions.
Key Responsibilities:
Administrative Support:
• Answer phone calls, direct inquiries, and provide general office support.
• Schedule and coordinate appointments, meetings, and conferences.
• Prepare and manage office correspondence, documents, and reports.
• Organize and maintain files, both physical and digital.
• Maintain office supplies inventory and handle procurement as needed.
Communication Management:
• Handle internal and external communication on behalf of management.
• Prepare and distribute memos, emails, and newsletters.
• Assist in managing communication between departments and external stakeholders.
Team Support:
• Assist HR or management with employee onboarding and other office processes.
• Provide support in preparing presentations, reports, and documents for management.
Skills and Qualifications:
• Any Graduate or equivalent; a degree in business administration or a related field is preferred.
• Proven experience in office administration or related roles.
• Strong organizational and multitasking abilities.
• Excellent written and verbal communication skills.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Attention to detail and ability to prioritize tasks effectively.
• Ability to work independently and as part of a team.
• Strong problem-solving skills and ability to handle confidential information with discretion.
