We are seeking an organized and detail-oriented Office Coordinator with strong data entry skills to join our team. The ideal candidate will be responsible for managing office operations, ensuring smooth day-to-day activities, and handling data entry tasks efficiently. This role requires excellent communication, multitasking, and organizational skills to support the office's operations and maintain accurate records.
Key Responsibilities:
Office Coordination:
Oversee general office operations, including office supplies, equipment, and maintenance.
Schedule and coordinate meetings, appointments, and events.
Answer and direct phone calls, manage correspondence (emails, letters, etc.).
Assist in preparing and organizing reports, presentations, and documents for meetings.
Provide administrative support to different departments as needed.
Data Entry and Management:
Enter, update, and maintain data into company systems accurately and efficiently.
Verify the accuracy of data before entering it into databases.
Generate reports and track data for analysis as required.
Maintain organized records and files for easy access and retrieval.
Communication and Collaboration:
Coordinate with team members to ensure smooth workflow and efficient completion of tasks.
Communicate with internal teams and external vendors or clients as needed.
Assist in maintaining and organizing company documentation and filing systems.
General Administrative Support:
Assist with preparing invoices, managing inventory, and maintaining office budgets.
Handle travel arrangements and manage office-related logistics.
Perform any other administrative duties as assigned.
Skills & Qualifications:
Proven experience as an Office Coordinator, Administrative Assistant, or in a similar role.
Strong data entry skills with excellent attention to detail.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
Strong organizational and multitasking abilities.
Good communication skills, both written and verbal.
Ability to work independently and as part of a team.
Time management skills and the ability to prioritize tasks efficiently.
Education & Experience:
High school diploma or equivalent; additional certifications in office administration or related fields are a plus.
Previous experience in data entry or office administration is preferred.
Working Conditions:
Full-time position, standard office hours.
Office environment, with occasional work on projects requiring extra hours.
