Office Coordinator

to support our daily processes and help us maintain smooth backend operations.

Role Overview



The Office Coordinator will serve as the backbone of day-to-day office operations, supporting our production, procurement, and logistics teams. This role is ideal for someone who thrives in a multitasking environment and has a sharp eye for detail.

Key Responsibilities



Prepare and manage

proforma invoices

,

purchase orders

, and

dispatch documents

. Track and update

material delivery status

by coordinating with vendors and transport partners. Monitor and maintain

production tracking sheets

, coordinating with the shop floor team to ensure timelines are met. Support

dispatch planning and coordination

, ensuring timely delivery of finished products to clients or project sites. Maintain accurate records of

incoming materials

,

production output

, and

outgoing dispatches

. Liaise with the

accounts team

for invoice processing and documentation requirements. Coordinate with suppliers for timely procurement and follow-up on pending deliveries. Assist in maintaining inventory records and raise alerts on low stock items. Handle general office administrative tasks such as document filing, data entry, courier dispatch, and basic office supply management.

Required Skills & Qualifications



Bachelor's degree in Business Administration, Commerce, or related field preferred. 1-3 years of experience in office coordination, operations, or administrative support. Familiarity with business documentation: purchase orders, invoices, delivery challans, etc. Strong organizational and multitasking abilities. Proficiency in MS Excel, Word, and basic ERP or inventory management tools. Effective verbal and written communication skills. Ability to work independently and take ownership of tasks.
