Job Description

Job Summary:

As a pivotal member of our team, the Administrative Assistant will play a crucial role in maintaining the smooth operation of UGI. This role involves handling a wide range of administrative and executive support-related tasks and will be able to work independently with little or no supervision. We are seeking a candidate who is well-organized, flexible, and enjoys the administrative challenges of supporting a diverse team and programs.

Key Responsibilities:

1. Administrative Support:

• Manage and maintain executives' schedules, appointments, and travel arrangements.
• Prepare and edit correspondence, communications, presentations, and other documents.
• Handle incoming and outgoing mail, emails, and phone calls efficiently.

2. Office Management:

• Oversee office supplies and inventory management, ensuring the office is well-stocked and organized.
• Coordinate maintenance of office equipment and liaise with IT support as needed.
• Maintain office filing systems, both electronic and physical.

3. Project Assistance:

• Assist in the planning and execution of departmental projects and events.
• Conduct research and compile data for reports, presentations, and projects.
• Support team members with various administrative tasks and projects as needed.

4. Communication:

• Act as a point of contact between executives, employees, clients, and external partners.
• Ensure that communication is clear, professional, and timely.
• Maintain a high level of confidentiality in all interactions.

5. Financial Administration:

• Process and track invoices, expense reports, and other financial documents.
• Assist with budget preparation and monitoring.
• Handle basic bookkeeping tasks as required.

6. Human Resources Support:

• Assist with onboarding new employees, including preparing orientation materials and coordinating training sessions.
• Maintain employee records and ensure they are up to date.
• Support HR-related activities and events as needed.

Qualifications:

• Bachelor's degree in Business Administration or related field preferred.
• Minimum of 1 years of experience in an administrative support role/ Fresher
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
• Excellent verbal and written communication skills.
• Strong organizational and time-management skills, with the ability to prioritize tasks.
• High level of accuracy and attention to detail.
• Ability to work independently and as part of a team.
• Discretion and confidentiality.

Work Environment:

• Typical office environment with standard office equipment.
• Occasional travel may be required for meetings or events.
