Key Responsibilities:
• Office Maintenance and Housekeeping:
• Ensure the office is clean, organized, and well-maintained.
• Take care of general cleaning duties such as emptying trash bins, dusting, and maintaining restrooms.
• Make sure that meeting rooms are tidy and ready for use.
• Supply Management:
• Keep track of office supplies (e.g., paper, pens, printer cartridges, cleaning materials).
• Replenish supplies when needed and inform management if items need to be ordered.
• Distribute and maintain stationery inventory.
• Supporting Office Staff:
• Assist employees with office errands, such as photocopying, filing, or organizing documents.
• Serve tea, coffee, or refreshments to office staff or visitors.
• Run small office errands, such as going to the post office or delivering packages.
• Mail and Courier Services:
• Sort and deliver incoming mail and packages to the respective departments or individuals.
• Prepare outgoing mail and dispatch it to the correct courier service.
• Assisting with Meetings and Events:
• Set up meeting rooms by ensuring they are properly arranged and equipped with necessary materials (e.g., projectors, flipcharts, etc.).
• Arrange catering or snacks during meetings and events.
• Supporting Visitors:
• Greet and assist visitors, ensuring they are comfortable while they wait.
• Direct visitors to the appropriate department or person.
• General Office Support:
• Help with basic clerical duties, like sorting documents, maintaining files, and assisting with paperwork.
• Perform any other tasks or duties as requested by the office manager or supervisor.
Skills & Qualifications:
• Communication Skills : Must be able to communicate effectively and courteously with staff and visitors.
• Organizational Skills : Ability to prioritize tasks and maintain an organized workspace.
• Physical Stamina : Capability to perform physical tasks such as moving supplies and cleaning.
• Time Management : Ability to manage multiple small tasks efficiently.
• Attention to Detail : Ensuring tasks are completed properly and on time.
