We are seeking a reliable and detail-oriented Office Assistant/Computer Operator to provide administrative support and handle computer-related tasks within our office. The ideal candidate will possess strong organizational skills, proficiency in computer operations, and a good understanding of office processes.
Key Responsibilities:
• Data Entry & Management:
• Input, update, and maintain data in computer systems.
• Ensure the accuracy and completeness of entered data.
• Assist with the preparation of reports, spreadsheets, and other documents as required.
• Document Handling:
• Prepare, format, and print documents for distribution.
• Organize and file office documents in both physical and digital formats.
• Scan, copy, and archive documents as needed.
• Office Support:
• Answer phone calls, take messages, and direct inquiries to the appropriate team members.
• Greet visitors and ensure a welcoming office environment.
• Order and maintain office supplies, equipment, and inventory.
• Computer Operations:
• Operate office machines such as computers, printers, copiers, and fax machines.
• Use office software like Microsoft Office (Word, Excel, PowerPoint), email, and other relevant applications.
• Troubleshoot minor computer and software issues or escalate to IT support when necessary.
• Scheduling & Coordination:
• Assist in managing calendars, appointments, and meetings.
• Coordinate travel arrangements and meetings for staff or clients.
• Ensure timely communication and follow-up with various stakeholders.
• Customer Support:
• Respond to customer inquiries via phone, email, or in-person and provide assistance when necessary.
• Maintain a professional and courteous demeanor when interacting with clients, visitors, and team members.
• Record Keeping & Filing:
• Maintain filing systems, both physical and electronic, ensuring easy retrieval of documents.
• Ensure confidentiality of sensitive information in accordance with company policies.
• General Administrative Duties:
• Provide administrative support to other office staff as required.
• Assist in organizing company events or meetings.
• Perform other office-related tasks as needed.
Qualifications:
• equivalent; additional qualifications in office administration or related fields are a plus.
• Proven experience as an office assistant, computer operator, or in a similar administrative role.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and email systems.
• Familiarity with office equipment like printers, copiers, and fax machines.
• Basic knowledge of office procedures and practices.
• Strong attention to detail and organizational skills.
• Excellent communication skills, both written and verbal.
• Ability to work independently and as part of a team.
• Time management skills and the ability to prioritize tasks effectively.
Preferred Skills:
• Experience with database management systems or CRM software.
• Basic knowledge of accounting or finance software (e.g., QuickBooks).
