Job Summary:
The Office Boy is responsible for providing support to the administrative team and ensuring the smooth operation of office activities. Duties include but are not limited to handling clerical tasks, maintaining cleanliness, assisting with administrative tasks, and running errands. The role requires a high level of organization, attention to detail, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
• Office Maintenance and Cleanliness:
• Ensure all office areas, including common areas, meeting rooms, and the kitchen, are clean and well-maintained.
• Perform daily cleaning tasks such as dusting, vacuuming, mopping floors, and emptying trash bins.
• Maintain and restock office supplies, including pantry items, cleaning supplies, and stationary.
• Administrative Support:
• Assist with photocopying, scanning, and printing documents.
• Handle incoming and outgoing mail, packages, and courier services.
• Distribute documents and materials to staff as needed.
• Refreshment Services:
• Prepare and serve tea, coffee, and other refreshments to employees and guests.
• Ensure that the kitchen area is stocked and tidy at all times.
• Office Errands:
• Run errands as requested by the office manager or other staff members, including banking, purchasing supplies, and delivering documents.
• Meeting Room Preparation:
• Set up meeting rooms for scheduled meetings, including arranging chairs, setting up projectors, and ensuring any necessary materials are provided.
• Ensure meeting rooms are clean and reset after meetings.
• Visitor Assistance:
• Greet and assist visitors and direct them to the appropriate person or department.
• Ensure visitors sign in and comply with office security procedures.
• General Office Assistance:
• Support staff with various administrative tasks as required.
• Monitor office equipment and report any maintenance needs.
Qualifications:
• Education: High school diploma or equivalent.
• Experience: Previous experience in a similar role is preferred but not required.
• Skills:
• Basic understanding of office procedures and equipment.
• Good communication and interpersonal skills.
• Ability to multitask and manage time effectively.
• Basic knowledge of Microsoft Office (Word, Excel, Outlook) is a plus.
Physical Requirements:
• Ability to lift and move office supplies and equipment.
• Prolonged periods of standing and walking throughout the office.
Work Environment:
