Job Overview:
We are seeking a versatile and experienced Office Assistant with a background in the real estate and construction industry . This role combines office administration with high-level support for senior management, including managing schedules, coordinating tasks, and ensuring smooth office operations. The ideal candidate will be proactive, detail-oriented, and capable of handling multiple responsibilities effectively.
Key Responsibilities:
Office Management & Administration:
• Manage daily office operations, including maintaining organized records, handling correspondence, and ensuring office supplies are stocked.
• Coordinate with vendors, contractors, and service providers for office requirements.
• Prepare and maintain reports, documents, and presentations for management review.
• Monitor and manage office workflows to ensure efficiency and compliance with organizational standards.
Executive Support:
• Oversee scheduling and calendar management for senior management, ensuring optimal time utilization.
• Coordinate and prepare for meetings, events, and conferences, including drafting agendas, compiling materials, and recording minutes.
• Handle official communications, emails, and correspondence on behalf of management.
• Assist with travel arrangements, including booking accommodations, transport, and itinerary planning.
Task Coordination:
• Act as a point of contact between senior management and internal/external stakeholders.
• Track and follow up on tasks, deadlines, and action items to ensure timely completion.
• Manage confidential and sensitive information with discretion and professionalism.
Key Qualifications:
• Proven experience in office administration, preferably in the real estate or construction sector .
• Strong organizational and multitasking skills with an ability to prioritize tasks effectively.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
• Excellent written and verbal communication skills.
• Ability to work independently and manage confidential information.
Education & Experience:
• Bachelor's degree in Business Administration or a related field is preferred.
• Minimum of 2-4 years of relevant experience in office administration or executive support roles.
