Position Overview:
We are seeking a reliable and organized Office Assistant to join our team. The Office Assistant will be responsible for performing a variety of administrative and clerical tasks to support the smooth and efficient operation of the office. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to multitask in a fast-paced environment.
Responsibilities:
• Administrative Support: Provide administrative support to office staff and management, including answering phone calls, responding to emails, and handling inquiries from clients, vendors, and visitors.
• Data Entry: Perform accurate data entry and record-keeping tasks, including maintaining electronic and paper files, updating databases, and processing paperwork.
• Scheduling and Calendar Management: Assist with scheduling appointments, meetings, and conference calls for staff members. Coordinate travel arrangements and accommodations as needed.
• Office Organization: Maintain the cleanliness and organization of the office, including ordering and stocking supplies, arranging for equipment maintenance and repairs, and managing office inventory.
• Document Preparation: Assist with drafting, formatting, and proofreading documents, reports, presentations, and correspondence. Prepare meeting agendas, minutes, and other materials as requested.
• Mail Handling: Sort and distribute incoming mail and packages. Prepare outgoing mail and shipments, including packaging, labeling, and coordinating with courier services.
• Filing and Record Management: Maintain accurate and up-to-date filing systems for documents, records, and other office materials. Ensure confidentiality and security of sensitive information.
• Meeting Support: Set up and clean up meeting rooms, arrange seating, and provide refreshments for meetings and events. Assist with audiovisual equipment setup and troubleshooting as needed.
• Customer Service: Provide friendly and professional customer service to clients, visitors, and staff members. Address inquiries and requests promptly and courteously, and escalate issues as necessary.
• Assistance with Special Projects: Assist with special projects and initiatives as assigned by office management or department heads. Collaborate with team members to support the successful completion of project deliverables.
Job Type: Full-time
Pay: ?10,000.00 - ?15,000.00 per month
