Job Title: Office Assistant
Job Overview:
We are seeking an organized and detail-oriented Office Assistant to provide administrative and clerical support to our office operations. The ideal candidate will be responsible for performing a variety of tasks to ensure the smooth and efficient running of daily office activities. The Office Assistant will play a vital role in maintaining office supplies, coordinating meetings, managing correspondence, and assisting with various administrative tasks. This position requires strong communication skills, impeccable attention to detail, and the ability to multitask effectively.
Responsibilities:
1. Greet and welcome visitors, clients, and employees, ensuring a professional and friendly atmosphere.
2. Answer and direct phone calls, take messages, and respond to inquiries in a prompt and courteous manner.
3. Manage incoming and outgoing mail, and other communication.
4. Maintain office supplies inventory, anticipate needs, and place orders as necessary to ensure uninterrupted office operations.
5. Assist with the organization and scheduling of meetings, appointments, and travel arrangements for employees.
6. Prepare and edit documents, reports, and presentations using MS Office or other software as required.
7. Maintain and update various office records, databases, and filing systems, ensuring accuracy and confidentiality.
8. Assist in coordinating office events, including meetings, conferences, and social gatherings, by arranging logistics, and other necessary arrangements.
9. Collaborate with other team members to support their administrative needs and provide assistance whenever required.
10. Perform general office maintenance and upkeep tasks, including supervising housekeepers.
11. Assist with special projects and initiatives, demonstrating flexibility and willingness to take on additional responsibilities as assigned.
Qualifications:
1. Any graduate; Good English reading, writing skill is a must; additional education or certification in office administration or related field is a plus.
2. Proven experience in an administrative or office support role is preferred.
3. Proficient in using Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
4. Excellent verbal and written communication skills, with the ability to interact professionally with individuals at all levels.
5. Strong organizational and time management skills, with the ability to prioritise tasks and meet deadlines.
6. Attention to detail and accuracy in handling administrative tasks and maintaining records.
7. Ability to maintain confidentiality and exercise discretion in handling sensitive information.
8. Strong interpersonal skills and a positive attitude, with the ability to build rapport and work effectively with diverse personalities.
9. Flexibility and adaptability to handle changing priorities and thrive in a fast-paced work environment.

Pay: ?12,000.00 - ?15,000.00 per month
