Job Overview:
An Office Assistant provides administrative support to ensure the efficient operation of the office. They support managers and employees through a variety of tasks related to organization and communication. The role involves a wide range of duties including administrative tasks, clerical tasks, and customer service.
Key Responsibilities:
• Administrative Support:
• Answer and direct phone calls.
• Organize and schedule meetings and appointments.
• Maintain contact lists.
• Produce and distribute correspondence memos, letters, faxes, and forms.
• Assist in the preparation of regularly scheduled reports.
• Clerical Tasks:
• Develop and maintain a filing system.
• Order office supplies and research new deals and suppliers.
• Book travel arrangements.
• Submit and reconcile expense reports.
• Provide general support to visitors.
• Customer Service:
• Act as the point of contact for internal and external clients.
• Handle requests and queries from senior managers.
Skills:
• Proficiency in MS Office (MS Excel, MS Word, MS PowerPoint).
• Excellent time management skills and ability to prioritize work.
• Attention to detail and problem-solving skills.
• Excellent written and verbal communication skills.
• Strong organizational skills with the ability to multi-task.
