Job Summary :
We are seeking a reliable and organized Office Assistant to support daily administrative tasks and ensure smooth operations within the office. The ideal candidate will be a proactive individual with strong organizational skills, able to handle multiple responsibilities efficiently.
Key Responsibilities :
• Administrative Support :
• Manage office operations, including maintaining files, records, and documents.
• Schedule meetings, appointments, and coordinate calendars.
• Ensure office supplies are stocked and reorder as necessary.
• Communication and Coordination :
• Answer and direct phone calls, emails, and inquiries to appropriate personnel.
• Coordinate with vendors, suppliers, and service providers as needed.
• Assist in drafting and proofreading documents and reports.
• Payment and Billing Assistance :
• Collect payments from clients and customers, and issue receipts.
• Assist with managing invoices, bills, and petty cash.
• Maintain accurate records of financial transactions.
• Day-to-Day Operations :
• Handle incoming and outgoing mail and deliveries.
• Support team members with ad-hoc tasks and special projects.
• Ensure the office environment is clean, organized, and welcoming.
Qualifications :
• High school diploma or equivalent; additional qualifications are a plus.
• Proven experience in an office or administrative role.
• Familiarity with office equipment (e.g., printers, scanners) and MS Office tools (Word, Excel, etc.).
