Job Overview:

We are seeking a highly organized, reliable, and proactive Office Assistant to join our team. The ideal candidate will provide administrative support to ensure the smooth operation of daily office activities. This role involves assisting with general office tasks, maintaining office supplies, and supporting staff across departments as needed.

Key Responsibilities:

• Administrative Support:
• Assist with answering phone calls, managing emails, and scheduling appointments.
• Prepare and proofread documents, presentations, and reports as required.
• Handle incoming and outgoing mail, packages, and deliveries.
• Office Management:
• Maintain office supplies inventory and reorder as necessary.
• Coordinate office maintenance and ensure all equipment is functioning properly.
• Ensure the office environment is tidy, organized, and conducive to a productive workspace.
• Clerical Tasks:
• Organize and maintain filing systems (both physical and digital).
• Assist with data entry, recordkeeping, and updating databases.
• Support the preparation of meeting rooms and other office setups as needed.
• Customer Service & Communication:
• Greet visitors and direct them to the appropriate department or individual.
• Handle inquiries in a friendly and professional manner, both in-person and via phone or email.
• Miscellaneous Duties:
• Assist in organizing office events, meetings, or team-building activities.
• Perform other duties as assigned to ensure the efficient running of the office.

Qualifications:

• High school diploma or equivalent (Associate's degree or higher is a plus).
• Proven fresher in an administrative or office support role
• Strong organizational and time-management skills with the ability to prioritize tasks.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Excellent communication skills, both written and verbal.
• Ability to work independently and as part of a team.
• Friendly, professional demeanor and a customer-service-oriented attitude.
• Ability to maintain confidentiality and handle sensitive information.

Preferred Skills:

• Experience with office management software or project management tools (e.g., Asana, Trello).
• Familiarity with basic accounting or bookkeeping tasks.
• Ability to multitask and adapt in a fast-paced environment.

Physical Requirements:

• Ability to sit, stand, or walk for extended periods of time.
• Ability to lift or carry up to 15 lbs. (e.g., office supplies or packages).
