Overview: We are seeking a dedicated and proactive Office Assistant to join our team. As an Office Assistant, you will play a crucial role in ensuring the smooth and efficient operation of our office. Your primary responsibilities will include providing administrative support, managing office supplies, assisting with scheduling and coordination, and handling basic clerical tasks.
Responsibilities:
• Administrative Support:
• Assist in day-to-day administrative tasks such as filing, data entry, and updating records.
• Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
• Handle incoming calls, emails, and other communications, redirecting them as needed.
• Office Management:
• Maintain office cleanliness and organization, ensuring a tidy and welcoming environment.
• Manage office supplies inventory and place orders when necessary.
• Coordinate maintenance and repairs of office equipment.
• Scheduling and Coordination:
• Assist in scheduling appointments and meetings.
• Coordinate travel arrangements and accommodations for staff when required.
• Arrange logistics for meetings, conferences, and events.
• Client and Visitor Support:
• Greet and assist visitors to the office, ensuring a positive experience.
• Handle inquiries from clients and vendors professionally and promptly.
• Data Management:
• Organize and maintain paper and electronic files.
• Ensure proper documentation and filing of important documents.
• Support to Management:
• Assist managers and executives as needed.
• Perform errands and other tasks as assigned.
Requirements:
• Proven experience as an Office Assistant, administrative assistant, or in a related role.
• Proficient in MS Office (Word, Excel, Outlook, PowerPoint) and other office software.
• Excellent organizational and time management skills.
• Strong attention to detail and accuracy.
• Good verbal and written communication skills.
• Ability to handle confidential information with discretion.
• Ability to work independently and as part of a team.
• High school diploma; additional qualifications in Office Administration are a plus.
