Job Summary:
We are seeking a highly organized and proactive Office Administrator to join our team at Vivek Doba Training Solutions. The ideal candidate will manage day-to-day office operations, provide administrative support, and ensure the smooth functioning of our office. Typing proficiency is essential for this role.
Key Responsibilities:
• Office Management:
• Ensure smooth day-to-day office operations.
• Maintain a clean, organized, and professional office environment.
• Manage office supplies inventory and place orders as necessary.
Administrative Support:
• Handle incoming calls, emails, and correspondence efficiently.
• Schedule appointments, meetings, and manage calendars.
• Maintain accurate records of business documents, reports, and client information.
• Event Coordination:
• Assist in planning and executing workshops, training sessions, and events.
• Coordinate with vendors, clients, and team members to ensure successful event execution.
• Client and Visitor Management:
• Greet and assist visitors, clients, and trainees professionally.
• Address client queries and provide information about our services.
• Documentation and Typing:
• Prepare and edit letters, reports, presentations, and training materials.
• Maintain databases and ensure all data entry tasks are completed accurately and on time.
• Financial Assistance:
• Handle basic bookkeeping, including tracking expenses and generating invoices.
• Support the finance team with data entry and document organization.
• Team Coordination:
• Serve as a point of contact between team members and external stakeholders.
• Facilitate communication and provide administrative support to the training team.
Qualifications and Skills:
• Proven experience in office administration or a related field.
• Strong typing skills (minimum 40 words per minute).
• Proficiency in MS Office Suite (Word, Excel, PowerPoint) and basic knowledge of digital tools.
• Excellent organizational and multitasking abilities.
• Strong communication skills, both written and verbal.
• Attention to detail and problem-solving skills.
• Professional demeanor and ability to handle sensitive information.
