Job Overview:
We are seeking a detail-oriented and highly organized Office Administrator to join our team. The ideal candidate will have previous experience in a pharmaceutical store, hospital, or healthcare environment and possess strong administrative, coordination, and communication skills. The primary responsibility is to ensure smooth office operations, facilitate communication across teams, and support administrative functions.

Key Responsibilities:
• Office Administration:
• Oversee day-to-day office operations, including maintaining office supplies and equipment, managing schedules, and organizing meetings.
• Coordinate internal and external communications, including phone calls, emails, and visitors.
• Organize and maintain filing systems, ensuring proper documentation of all office records, correspondence, and contracts.
• Pharmaceutical/Medical Support:
• Manage the stock of medical supplies, pharmaceuticals, and inventory in the office, ensuring items are well-organized and re-ordered as necessary.
• Liaise with suppliers, pharmacists, or healthcare providers to ensure timely and accurate stock replenishment.
• Assist in ensuring compliance with relevant health and safety regulations, including maintaining updated records for pharmaceutical products.
• Patient/Client Coordination:
• Assist in patient or client coordination, managing appointments and assisting with inquiries.
• Ensure accurate data entry for patient records, prescriptions, or service details.
• Communication & Team Support:
• Act as the first point of contact for office visitors, customers, and clients, providing professional customer service.
• Provide administrative support to senior management, including preparing reports, presentations, and scheduling meetings.
• Coordinate with various departments to ensure smooth workflow and timely completion of tasks.
• Billing & Financial Support:
• Assist with invoicing, billing, and maintaining financial records.
• Coordinate with finance teams for billing and accounting purposes.
Required Skills & Qualifications:
• Educational Qualification:
• Minimum of a high school diploma or equivalent (preferably in the medical or pharmaceutical field).
• Certification or degree in office administration or related fields (preferred).
• Experience:
• Prior experience working in a pharmaceutical store, hospital, or healthcare setting is preferred.
• Proven experience in office coordination, administrative tasks, or customer service roles.
• Familiarity with medical supplies, pharmaceuticals, and basic healthcare terminology is a plus.
• Skills:
• Excellent organizational and time-management skills.
• Strong verbal and written communication skills.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
• Basic knowledge of healthcare regulations and pharmaceutical inventory management.
• Ability to multitask and work under pressure.
• Attention to detail with a focus on accuracy and quality.
