Job Overview:

The factory office administrator will play a crucial role in ensuring efficient office operations within our manufacturing facility. This position requires strong organizational skills, excellent communication abilities, and the capability to manage multiple tasks in a fast-paced environment.

Key Responsibilities:

• Manage and streamline office communications, including handling phone calls, emails, and correspondence related to factory operations.
• Assist in scheduling and coordinating meetings, site visits, and internal events.
• Maintain accurate records, filing systems, and databases for operational processes and documentation.
• Prepare and distribute reports, memos, and other necessary documentation for various departments.
• Collaborate with production, logistics, and quality assurance teams to ensure operational efficiency.
• Oversee inventory and procurement of office supplies and equipment, ensuring timely replenishment.
• Support HR functions, including onboarding, training coordination, and maintaining employee records.
• Assist in implementing and maintaining safety and compliance protocols within the factory.
• Liaise with government officials for necessary permits, licenses, and compliance requirements, ensuring timely renewals and adherence to regulations.
• Manage tender activities, including researching opportunities, preparing documentation, submitting bids, and following up with relevant government departments.
• Coordinate with various stakeholders to ensure all tender submissions meet the requiredspecifications and deadlines, and assist in the negotiation process as needed.
• Manage vendor communications and procurement processes as required.
• Provide administrative support for special projects and initiatives as needed.

Qualifications:

• Proven experience as an office administrator or in a similar administrative role, preferably within a manufacturing environment.
• Familiarity with government regulations, tender processes, and procurement procedures is highly desirable.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
• Excellent organizational and multitasking skills, with the ability to prioritize tasks effectively.
• Strong written and verbal communication skills, with the ability to liaise effectively with government officials and stakeholders.
• Attention to detail and proactive problem-solving abilities.
• Ability to work independently and collaboratively within a team.
• High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
