Responsibilities:
Administrative Support: Provide comprehensive administrative support to the office, including managing calendars, scheduling appointments, organizing meetings, and coordinating travel arrangements.
Communication and Correspondence: Handle incoming and outgoing communications, including phone calls, emails, and mail, and ensure timely and appropriate responses. Draft and proofread documents, letters, and reports as needed.
Office Operations: Maintain office supplies and equipment, including ordering and restocking as necessary. Oversee the maintenance and repair of office facilities and equipment, such as computers, printers, and telecommunication systems.
Recordkeeping and Filing: Develop and maintain efficient filing systems to ensure accurate recordkeeping and easy retrieval of documents. Manage and update databases, spreadsheets, and other administrative tools.
Office Policies and Procedures: Develop and implement office policies and procedures to improve efficiency and ensure compliance with relevant regulations. Communicate and enforce office policies to employees.
Vendor Management: Liaise with vendors and suppliers, negotiate contracts, and maintain good working relationships. Obtain competitive quotes for supplies and services and make recommendations to management.
Health and Safety: Ensure compliance with health and safety regulations and maintain a safe and clean office environment. Coordinate fire drills, evacuation procedures, and first aid training.
Qualifications and Skills:
• High school diploma or equivalent; additional education or certification in office administration is a plus.
• Proven experience as an office administrator or in a similar administrative role.
• Proficiency in office software applications (e.g., Microsoft Office suite, email clients, spreadsheets).
• Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
• Excellent verbal and written communication skills.
• Attention to detail and accuracy in recordkeeping and document preparation.
• Problem-solving and decision-making abilities.
• Ability to maintain confidentiality and handle sensitive information.
• Strong interpersonal skills to interact with employees, clients, and vendors.
• Knowledge of basic accounting principles and experience with financial tasks is desirable.
